The supervisory Medical Administrative Specialist is located within the Health Administration Service at the he Orlando VA Medical Center. The employee has full administrative and professional responsibility for planning and directing all the Medical Support Assistant activities under their supervision. The employee has many operational managerial/supervisory duties and responsibilities within the service.
Duties
Duties Include, but not limited too:
Prepares program report- forecasting changes in costs, space, equipment, and personnel requirements. Reviews, analyzes and trends key success indicators in areas managed. Advises management officials of potential program areas and creates action plans to for mitigation.
Works closely with Primary Care, Mental Health, and Specialty Service Level Leadership by providing administrative guidance and support to Health Administration Service (HAS) areas managed.
Displays effective management skills by directly overseeing multiple team members in various work groups and areas within the organization.
Displays understanding of complex decision-making processes by displaying proper analysis skills and creative resolutions. Understands interrelated of effectiveness, efficiency, and productivity requirements of a number of administrative support teams.
Displays the ability to comprehend and explain numerous hospital policies and procedures in order to communicate correct information to employees, visitors, patients, and other departments.
Displays understanding of a wide range of concepts, principles and practices of HAS programs in order to train and manage processing activities.
Hears and resolves grievances and complaints from internal and external stakeholders. Handles conflicts and problems in dealing with customers constructively and appropriately
Ability to communicate with a wide variety of individuals to include internal and external stakeholders. Skillful in exercising tact, discretion, and professionalism.
Evaluates and writes performance appraisals and provides feedback to employees concerning their performance.
Ability to communicate effectively both orally and in writing. Communicates via a number of methods and in a variety of settings (ie town hall meetings, face-to face discussions, executive/VISN level meetings, etc.)
Displays the ability to create electronic tools to assist team members in completing tasks. Knowledge base includes training team members and answer questions regarding new electronic tools and work process adjustments.
Displays the ability to create reports as requested using variety of tools and suites to include: the Microsoft Suite (excel, access, word, etc.), dashboard creation and manipulation (local and national).
Displays the ability to effectively participate on assigned projects, committees and performance improvement workgroups which have a direct impact on program objectives across service lines.
Displays the knowledge of VA supervisory rules, regulations, processes and procedures including thorough knowledge of Human Resources Management as it pertains to staff supervision and staffing. Knowledge includes the VA AFGE Master Agreement and its affects upon employee management and supervision.
Utilizes strong leadership skills to develop, implement, evaluate and improve processes and procedures to monitor the effectiveness, efficiency and productivity of the program.
A one year supervisory probation period may be required for this position.
Work Schedule: Monday to Friday 7:30am - 4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/29/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
A one year supervisory probation period may be required for this position.
