The Staff Assistant is in the Office of Director at the Denver Regional Office (RO). The office has jurisdiction for oversight of the Denver and Cheyenne Regional Office. The incumbent of this position reports to the Assistant Director, who in turn reports to the Director, who is a member of the Senior Executive Services.
Duties
Specific duties include:
Sets up and maintains the daily activity calendar for the Director and Assistant Director; schedules appointments and arranges meetings and assures that daily activities are well coordinated.
The Staff Assistant receives, analyzes, and evaluates all written or electronic material coming into the Office of the Director; determines proper routing; and is responsible to brief the Director and/or AD on correspondence or electronic information requiring their attention.
Analyzes written or electronic correspondence prepared for the signature of the Director or AD for accuracy, timeliness, tone, and appropriateness. Returns material to the originator when corrections are necessary, or the product is not yet acceptable for referral to the Director.
Upon request of the Director or Assistant Director, attends staff meetings or other meetings that senior leadership presides over. Prepares meeting minutes and distributes copies of the minutes to the appropriate individuals.
Serves as the station's Correspondence Management Coordinator. Staff Assistant disseminates and ensures adherence to directives and policies issued by VA Central Office as it relates to administrative functions.
Control of the Director's Office Mailbox is the primary function of the Staff Assistant
The Staff Assistant is entrusted with all confidential information and material with complete responsibility for the receipt, custody, accountability, dissemination as appropriate, control, and safekeeping of all information and/or material, keeping records of confidential data, and for preparation of required correspondence.
The Staff Assistant must apply analytical and evaluative techniques to identify, consider and resolve issues or problems in the administrative realms and is responsible for reducing findings to writing and preparing narrative reports to the Assistant Director as required.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. The grade progression for this position is GS-7, GS-9.
Work Schedule: Full time, Monday through Friday 7:30 a.m.-4:00 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement:02/01/2024.
TIME-IN-GRADE REQUIREMENT: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements.
For a GS-07 position you must have served 52 weeks at the GS-05.
For a GS-09 position you must have served 52 weeks at the GS-07.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
If you are a current VBA employee requesting a reassignment or change to lower grade via this vacancy announcement, you must currently hold the GS-7/9 grade (or higher) and the promotion potential of your current position must be at least GS-9.
MINIMUM QUALIFICATION REQUIREMENT: You may qualify based on your experience as described below:
GS-07 Grade Level:
Specialized Experience: Applicants must have one year of Specialized Experience which is equivalent to the next lower grade (GS-5 level) in the normal line of progression for the position. Specialized Experience is defined as experience using automated systems to track schedules and screen phone calls from internal and external customers; AND experience applying analytical and evaluative techniques, and agency regulations, policies, and precedents to conduct analysis of issues, work functions or work processes.
Education Substitution: 1 full year of graduate level education or a bachelor's degree with superior academic achievement. Transcripts must be provided.
GS-09 Grade Level:
Specialized Experience: Applicants must have one year of Specialized Experience which is equivalent to the next lower grade (GS-7 level) in the normal line of progression for the position. Specialized Experience is defined as experience managing the administrative schedule and incoming correspondences of an office (calendar, corporate mailbox, phone calls, briefings); AND experience applying analytical and evaluative techniques to design and implement improvements to work functions or processes.
Education Substitution: Master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree or LL.B. or J.D., if related. Transcripts must be provided.
Volunteer Experience: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Full vs. Part-Time Employment: Full-time employment is considered to be at least 35 hours per week. Part-time experience will be credited on a pro-rated basis; when including part-time employment in your resume you must specify the average hours worked per week.
Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required.
