This position is located within the Clinical Services Branch, Dzilth-Na-O-Dith-Hle Health Center (DZHC), Shiprock Service Unit, Bloomfield, NM. The Clinical Services Branch consists of departments that include Ambulatory Care, Dental, Laboratory, Social Services, Mental Health, Optometry, Pharmacy, and Radiology. The purpose of this position is to provide administrative and clerical support to the Chief Medical Officer and the Clinical Branch Department Supervisors.
Duties
Performs receptionist duties for the Chief Medical Officer.
Answers telephone calls, schedules appointments, prepares documentation, training and conference requests, extensive travel arrangements, receives visitors, takes and gives messages, directs individual or transfers call to proper personnel or office.
Serves as timekeeper and back-up timekeeper for assigned personnel. Responsible for inputting time and attendance, accessing the Integrated Time and Attendance System (ITAS).
Receives and reviews all incoming mail, assigns priority to each item.
Maintain filing office filing system, prepare and maintain spreadsheets, charts and status reports to track departmental budgets, compile statistical data for a variety of administrative reports, such as budget line items, office equipment, leave overtime workload, training and staffing level.
Coordinate and maintains activities necessary for medical reviews, surveys, and accreditation with medical staff leadership, Joint Commission, State, and Federal entities.
Responsible for producing and tracking requests, invoices, purchase orders, receiving reports and other procurement documents.
Proficiency in office automation functions such as, but not limited to, Word processing software, EXCEL, electronic spreadsheets, Publisher, Power Point, ITAS, database management, desktop publishing, graphics, email, and the DHHS IHS HRX, USA Staffing, and a variety of other systems.
Performs other duties as assigned in support of the Chief Medical Officer and the Clinical Branch department supervisors.
Qualifications

MINIMUM QUALIFICATIONS:
GS-05: Applicants must have successfully complete 4 years of education above high school -OR- your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Performs data entry of PII, educational, work experience, scans different types of documents containing PII; and audits documents for completeness and accuracy.
Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below, except for Reporting Stenographer, GS-5.
For GS-5 level positions, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience
Education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
