This position is located within the Health Information Management Section (HIMS) under Patient Business Service (PBS) at the Chalmers P. Wylie VA Ambulatory Care Center in Columbus, Ohio. The employee serves as the Lead File/Scanning Clerk, leading seven GS-4 File/Scanning Clerks and serving as Acting Supervisor, File/Scanning Unit during periods of the Supervisors' absence.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Some of the duties and responsibilities of this position include (but are not limited to): Ensures work is disseminated appropriately and maintains a records overdue database; Assists the Supervisor, File/Scanning Unit in the performance, completion and maintenance of accurate and timely monitors to ensure that medical record availability meets or exceeds levels acceptable to the Health Information Management Department, Joint Commission and other reviewing organizations; Resolves simple, informal complaints of employees referring others to the supervisor; Trains the File/Scanning personnel; this includes all operations; i.e., filing sequence, retrieval of medical records, transfer of medical records, Record Tracking and other VistA related programs; Ensures retention of medical records on a timely basis for shipment to storage facilities and loads this information into the Record Tracking System; Protects the confidentiality of customer information, access to computer files and release of access codes, according to established guidelines and policy; Performs other related duties as assigned. Qualifications

SPECIALIZED EXPERIENCE: Possess one full year of specialized experience equivalent to the next lower grade level in federal service. Specific qualifying specialized experience for this position (which should be documented on your resume) includes scanning documents; coordinating work for other employees; referring unusual clerical/administrative situations to a supervisor for resolution; and using multiple systems and current computer technology associated with medical records. OR EDUCATION SUBSTITUTION: Successfully completed 4 years of education above the high school level (in any field). NOTE TO APPLICANTS: This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. (TRANSCRIPTS REQUIRED - If you do not submit a copy of your transcript, your application may not be processed.) OR COMBINATION: Possess equivalent combinations of experience and education as previously described to fully meet the requirements of this position. NOTE: For GS-5 level positions, only education in excess of the first 60 semester hours of a course of study leading to a bachelor's degree is creditable toward meeting the specialized experience requirements. Two full academic years of study, or 60 semester hours, beyond the second year is equivalent to 1 year of specialized experience. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ComplianceCustomer Service (Clerical/Technical)Information ManagementLeadership IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work involves considerable walking, standing and bending in searching from various files. There is occasional lifting and carrying of such items as record boxes and bulky files.
