The Secretary (OA) will be working at the Public Health Department of the Captain James A. Lovell Federal Health Care Center, within the Fleet Medicine Directorate in North Chicago, IL. This position serves as the principal office clerical assistant and advisor to the Clinical Director. The Secretary (OA) is responsible for various administrative support functions and ensures that these administrative support functions are handled in such a manner as to enhance the efficiency of the Department.
Duties

Duties include, but may not be limited to the following:
Receiving visitors and telephone calls to the office.
Maintaining calendar for appropriate staff and schedules appointments.
Performing office automation work which includes prepares meeting minutes, utilizing various hardware and software.
Following up on action items to ensure timely response.
Preparing forms, memorandums, reports, and other correspondence, ensuring proper grammar, spelling, and format.
Preparing and maintaining current guidelines and manuals pertinent to the department.
Preparing travel arrangements for staff.
Coordinating conferences and meetings which includes preparing agendas.
Serving as timekeeper for the service.
Maintaining office supplies and equipment.
Performing other related duties as assigned.
Work Schedule: Full-Time, Monday through Friday, 7:00am - 3:30pm

Qualifications
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

To qualify for this position at the GS-6 level, applicants must meet the following:
SPECIALIZED EXPERIENCE: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-5) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Secretary (Office Automation), GS-6 position, and that is typically in or related to the work of this position. Specialized Experience includes:receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; utilizing office automation software and maintaining files. This experience must be detailed in your resume to receive credit.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: Work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, climbing of stairs, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
