Duties

This position serves as an Administrative Support Assistant within the Utah State Office, for the Division of Lands and Minerals. Provides administrative support to the Deputy State Director (DSD) for Lands and Minerals resolving non-recurring problems and issues, and providing advice and recommendations to the DSD on improving administrative operations. Assist the DSD in the preparation of the offices budget and Annual Work Plan (AWP). Processes various transactions such as obligations, collections, distributions, reconciliation in the automated financial system. Utilizes spreadsheet and data base software to create reports and databases, and operate word processing software applications to type letters, memorandums, reports, and correspondence. Utilizes automated equipment (hardware/software) for word processing, file management, creating/compiling special reports, electronic mail, and other applications necessary for the support and management of office operations. Designs, organizes, and maintains physical and electronic files, reports, data sheets, memoranda, tracking logs, and other documentation for the DSD and select members of the office staff in accordance with guidelines. Makes or assists with travel arrangements, and assists the DSD and assigned staff in the preparation of travel authorizations, vouchers, training requests, etc. Serves as the Division’s point of contact for all time and attendance matters; reviews time and attendance reports in QuickTime system, ensuring completeness and accuracy. Schedules and prepares appointments, conferences, and other commitments. Attends and records the minutes of meetings which are later summarized and distributed; ensures that commitments made at the meetings are met and keeps the DSD informed of any issues. Reviews/proofreads correspondence prepared for the DSD’s signature for clarity, completeness, and grammatical and procedural correctness. Screens incoming material for suspense dates and ensure timely reply or action; ensures correspondence, reports, and other required actions are completed within deadlines.

Qualifications

To qualify at the GS-06 level you must meet the following: Specialized Experience: Applicants must possess one (1) full year of specialized experience at or equivalent to the GS-05 level equivalent in difficulty and complexity to perform the duties of a Administrative Support Assistant. Qualifying specialized experience includes: communicating clearly in both verbal and written form; entering, retrieving, and correcting data in an automated data management system (data entry/coding); reviewing documents to ensure compliance and accuracy; and utilizing computer software and office machines to complete daily tasks. To qualify at the GS-07 level you must meet the following: Specialized Experience: Applicants must possess one (1) full year of specialized experience at or equivalent to the GS-06 level equivalent in difficulty and complexity to perform the duties of a Administrative Support Assistant. Qualifying specialized experience includes: communicating clearly in both verbal and written form with customers internal and external to work unit; performing a variety of administrative support activities such as timekeeping and travel arrangements; reviewing and editing documents or correspondence for proper grammar, spelling, and formatting; using automated systems to process documents, prepare reports, and maintain records; and assisting with maintaining, balancing, and/or reviewing budget accounts. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. You must meet all qualification requirements by the closing date of the announcement. Physical Demands: The work is mostly sedentary. There is occasional carrying of light objects such as files, books, and paperwork. There are no special physical requirements required. Work Environment: The work is performed in an office setting. The work environment involves everyday risks which require normal safety precautions typical of such places as offices, meeting and training rooms, or commercial vehicles. The work area is adequately lighted, heated, and air conditioned. Occasional travel is required. The incumbent will adhere to all safety rules and regulations as prescribed in manuals/supplements or by the designated Safety Officer.
