The incumbent serves as the Program Support Assistant (OA) to the Supervisory Health System Specialist and administrative offices at the Jacksonville VA Outpatient Clinic. This position has technical and administrative responsibility for the daily operations of their office(s). The clinic offers a variety of medical disciplines.

Duties

Major duties include, but are not limited to: Serving as the front line employee in the Administrative Offices and the office of the Chief Medical Officer. Receiving incoming calls and direct/distribute all correspondence. Working collaboratively with the Primary and Specialty care, Nursing, and clinical program leaders. Working with services at other North Florida/South Georgia VHS departments and program leaders. Recording, typing, and distributing minutes and correspondence at committee meetings. Transcribing written documents and presentations ensuring finished documents are properly formatted and in accordance with VA regulations. Maintaining calendars for Administrative Officers. Setting up and maintaining files on clinic operations, programs, correspondences, resources, etc. Responsible for the assignment of government owned DAV station vehicles. Assuring compliance with all necessary forms and applications for new and current drivers. Also including maintaining the calendar for daily vehicle assignments. Preparing actions for signature for voluntary service and work study for Administrative Offices. Preparing and submitting requests for department office supplies. Assisting staff with paperwork for requests. Coordinating and arranging meetings for administrative leadership. Assisting in recruiting activities, arranging interviews and pre-employment physical exams for employment candidates, staff, volunteers, and work study students. Clearing employees leaving the station and conducting exit interviews. Using various software applications such as VISTA; CPRS; and Microsoft Office to include Excel, Word, Outlook, and PowerPoint. Initiating and typing correspondence for action/follow-up/reports initiated by the Administrative Offices. This also includes memorandums, informational letters, and letters to other administrative offices in North Florida/South Georgia VHS. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/25/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: Greeting and managing a wide variety of individuals and issues. Routine daily inquiries coming in either verbally (via telephone), in person, or in writing from patients, staff, and outside visitors. Maintaining documentation and daily manifest of a transportation network. Screening and scheduling transportation requests. Reviewing patient records to confirm appointment details. Ensuring appointment and transportation are both available on date requested. Serving as primary timekeeper. Assisting managers, staff, and volunteers with the preparation of correspondence. Maintaining accurate files. You will be rated on the following Competencies for this position: Administration and ManagementComputer SkillsCustomer ServiceOrganizational Stewardship Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like paper or books. No special physical demands are required to perform the work.
