The position supports KTCC and Geriatrics and Extended Care staff, including the Medical Director, physicians, and clerical personnel at Kerrville Division (KD). The role involves various tasks, such as managing patient files, scheduling teleconferences, and providing authoritative explanations of VA/Medical directives; problem-solving, coordinating activities; interacting respectfully with patients, families, and staff.

Duties

Organize varied clerical work in a large government/medical setting. Organize workflow between the employees of the service, the Administrative Officer, and entities outside the service. Prioritize tasks and assignments and maintain a suspense system to assure timeliness of correspondence and reports. Prepare reports in an appropriate written format and/or communicate reports verbally. Functions as the primary timekeeper and in a back-up capacity as needed. Maintain appointment calendar and schedule appointments and meetings. Complete work quickly and accurately using VistA/DHCP, Microsoft Office products (Work, Excel, PowerPoint, Outlook, Access), and various other data/information retrieval systems. Ensure completed work is reviewed and forwarded to appropriate personnel in a timely and accurate manner. Order and maintain office supplies. Track, store, collect, research and compile data for independent analysis. Review incoming mail and prepares response for appropriate signature. Receive visitors and telephone calls to the service. Work Schedule: Monday - Friday, 8:30am - 4:00pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/29/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience in collecting, compiling, and tracking data and statistical information to support program operations, as well as knowledge of budget analysis and administrative functions, including budgetary transactions. Familiarity with obtaining and monitoring services, supplies, or equipment for program needs, including property management duties; the ability to perform training support duties, maintain records, and ensure employees meet education and safety requirements; proficiency in serving as an Automated Data Processing Applications Coordinator (ADPAC), troubleshooting computer-related issues, and providing training on software programs; administrative and clerical experience using Microsoft Office applications, experience in monitoring time and attendance, HR staff coordination, and records review, along with proficiency in maintaining appointment calendars, scheduling meetings, and responding to inquiries from patients, families, and outside agencies regarding medical services and policy interpretation; understanding of safety and infection control policies to maintain a safe work environment. You will be rated on the following Competencies for this position: Clerical Accountability Planning and Evaluating Project Management Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
