This temporary promotion may be terminated at any time. Incumbent is ineligible for grade or pay retention at the termination of this temporary promotion and will be returned to their former position and former grade and step upon termination of this temporary promotion.
This temporary promotion may be extended up to a total of 5 years or made permanent without further competition.
Duties
If selected for this position, you will support the United States Attorney (USA), First Assistant U.S. Attorney (FAUSA) and Counsel to the USA/Criminal Chief, by providing a wide variety of technical and administrative support services. A confidential relationship is required between the incumbent and the USA and FAUSA. Typical work assignments will include:
Exercises control over the USA, FAUSA's, and Counsel to the USA/Criminal Chief, calendar for appointments, meetings, engagements, and conferences.
Reviews all outgoing correspondence prepared for signature, e.g., action documents, case files, legal documents, and reports.
Screens telephone calls and visitors and exercises independent judgment and discretion to determine the nature, purpose, and urgency of the matter.
Screens and controls incoming mail and independently handles matters addressed to the USA, FAUSA, and Counsel to the USA/Criminal Chief, that do not require their personal attention by referring such to appropriate staff members.
Composes a variety of written material varying in subject and format that reflects the USA's policies and special interests. Develops reports and documents involving obtaining information from staff, subject files, or other sources.
Makes travel arrangements and processes travel documentation for the USA, FAUSA, and Counsel to the USA/Criminal Chief,
Arranges conferences and meetings for the USA, FAUSA, Counsel to the USA/Criminal Chief. This includes preparing agenda, notifying participants, and arranging luncheons.
Assists senior management officials with reporting information in response to requests from EOUSA and Departmental components and with preparing significant policy documents as needed.
Responsibilities may increase and assignments become more complex as your training and experience progress.
Requirements
- You must be a U.S. Citizen or National.
- Initial appointment is conditioned upon a satisfactory pre-employment adjudication. This includes fingerprint, credit and tax checks, and drug testing. Continued employment is subject to a favorable adjudication of a background investigation.
- You must be registered for Selective Service, if applicable.
- If selected, you may be required to complete a one year probationary period.
- Time-in-Grade: Federal employees must meet time-in-grade requirements within 30 days after the closing date of this announcement.
- You must meet all qualification requirements within 30 days after the closing date of this announcement and before placement in the position.
Qualifications
GS-8: To be eligible at the GS-8 level, you must have at least one year of specialized experience equivalent to the GS-7 level.
Specialized Experience: One full year of specialized experience equivalent to the GS-7 level. Specialized experience is defined as performing a wide range of secretarial and administrative support functions in a legal environment. Examples of specialized experience include the following: experience managing and overseeing the day-to-day activities of a supervisor/manager including maintaining calendar activities; arranging travel for management; performing a variety of special assignments; composing a variety of written documents (i.e., briefings, memorandums, letters, reports; utilizing office automation software programs (i.e., MSWord, Power Point, MS Outlook and Excel); proof reading and editing written incoming and outgoing material for adherence to established policies, proper format, spelling, punctuation, capitalization, grammar, writing style, and supervisor's previously expressed views; using office software applications to prepare legal documents and materials; and screening calls and visitors.
GS-9: To be eligible at the GS-9 level, you must have at least one year of specialized experience equivalent to the GS-8 level.
To be eligible at the GS-9 level, you must have at least one full year of specialized experience equivalent to the GS-8 level in federal service performing a wide range of high-level secretarial and administrative support functions. Examples of specialized experience include the following: experience as an executive secretary to a senior executive such as a Chief Executive Officer, senior officer of a large law firm, or equivalent) performing a wide range of high-level secretarial and administrative support functions in a legal environment; managing the schedule/calendar, travel, commitments and correspondence of the executive; reviewing, editing and composing incoming and outgoing documents ensuring proper format, spelling, punctuation, capitalization, and accuracy of grammar; arranging high level meetings/conferences; creating, sorting, and assembling data for charts, graphs, spreadsheets, briefings, using office automation software programs [i.e., MSWord, Power Point, MS Outlook and Excel]; and dealing with senior executives (such as officials of state and federal government, national or international corporations, and public interest groups)
GS-10: To be eligible at the GS-10 level, you must have at least one year of specialized experience equivalent to the GS-9 level.
Specialized Experience: One full year of specialized experience equivalent to the GS-9 level. Specialized experience is defined as performing a wide range of complex, high-level secretarial and administrative support functions in a legal environment. Examples of specialized experience include the following: experience as an executive secretary to a senior executive such as a Chief Executive Officer, senior officer of a large law firm, or equivalent) performing a wide range of high-level secretarial and administrative support functions in a legal environment; managing the schedule/calendar, travel, commitments and correspondence of the executive; review incoming and outgoing correspondence prepared for the executive's signature (i.e., memorandums, letters, case files, legal/action documents, and reports]; developing and modifying office procedures; creating written documents utilizing advanced functions in office automation software (i.e., MSWord, Power Point, Excel); arranging high level meetings; dealing with senior executives (such as officials of the state and federal government, national or international corporations, and public interest groups); developing background information and writing introductions, speeches and closing remarks to be presented by an attorney at meetings, conferences and other speaking engagements.
To be qualified, you must type at least 40 words per minute based on a 5 minute sample with three or fewer errors. (A typing test may later be required.)
