This position, located within the Office of Nursing Services at the James J. Peters VA Medical Center in Bronx, New York, is responsible for providing administrative support to the Hospital Administrative Coordinator. The Staff Assistant develops information, resolves a wide variety of problems, maintains effective inter-professional relationships and meets program objectives.
Duties

Duties include, but are not limited to, the following:
Works closely with representatives of various administrative support programs in the management of funds, personnel, supplies, equipment and space;
Analyzes and prepares reports using various computer software applications;
Coordinates all communication/meeting/surveys/events/programs for leaders, staff and consultants;
Provides support and administrative guidance to program areas to include filing/copying/scanning paperwork, preparing folders and documentation, etc.
Prepares qualitative data analyzing data utilizing various database;
Manages office's schedules and day-to-day operations;
Recommends changes in administrative policies as necessary;
Participates in quality improvement projects and employee engagement projects;
Manages a wide variety of internal and external correspondence;
Reviews and responds to correspondence or routes to the proper staff member;
Performs other related duties as assigned.
Work Schedule: Nights, 11:30pm to 8:00am

Qualifications
To qualify for this position at the GS-9 grade level, applicants must meet one of the following:
Experience: At least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-7) in the Federal Service that has given me the particular knowledge, skills and abilities required to successfully perform the duties this position. Specialized experience consists of experience associated management analysis and office support services; prepares routine reports; knowledge and/or experience in administrative functions such as assisting/participates with various projects and surveys, coordinating meetings and events; preparing and maintaining records; data analysis; review and respond to correspondence. Applicants must possess excellent organizational, verbal and written communication skills. -OR-
Education: Successful completion of a master's degree or two (2) full years of graduate level education leading to such a degree in a related field of study that demonstrates your ability to perform the duties of this position. Combination: Equivalent combinations of successfully completed progressively higher-level graduate education (beyond the first year) and specialized experience, as described above, which meet the total experience requirements for this grade level. Physical Requirements: The work requires regular and recurring physical exertion such as periods of standing, walking, bending, stooping, reaching and similar activities in and around supply delivery areas. May be called upon to assist in the storage and distribution of files primarily consisting of lifting boxes up to 40 pounds and placing them on shelves or carrying them to another area of the service they are working in. The work is primarily sedentary, although some slight physical effort may be required.
