Incumbent serves as an Administrative Support Assistant (ASA) and provides all administrative duties for the assigned Associate Executive Directors (AED) and the Plant Protection and Quarantine Field Operations Staff. The incumbent is responsible for providing and/or securing a variety of program, clerical and administrative services.
Duties
The duties described are for the full-performance level. At developmental grade levels, assignments will be of more limited scope, performed with less independence and limited complexity. The duties may include, but are not limited to:
Implements the national records management program. Files and retrieves records, APHIS Directives, notices, memoranda, and other directives.
Advises and alerts the assigned Associate Executive Director of suspense and procurement items. Maintains an ongoing needs list for timely procurement of supplies, forms and equipment
Maintains control systems for miscellaneous payments documents for BPAs, VISA purchases and PCMS, and related documents to assure correctness, proper preparation, and timely processing.
Maintains and/or prepares travel authorizations/advances and vouchers, arranges for domestic and international travel for all employees.
Coordinates administrative computer systems and programs.
Coordinates with IT and computer specialists on solving installation problems or problems with software, loading new programs or configurations.
As records custodian, the incumbent creates and preserves official mission records on behalf of the assigned office or staff.
Requirements
- You must be a US Citizen or US National.

- The work is sedentary, with occasional carrying of light supplies and office equipment. The work is performed in an office setting. Occasional travel is expected of this position.
Qualifications
Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement, including time-in-grade restrictions, specialized experience and/or education, as defined below.
TIME-IN-GRADE: Current federal employees applying for a promotion opportunity must meet time-in-grade (TIG) requirement of 52 weeks of service at the next lower grade level in the normal line of progression for the position being filled.
FOR THE GS-06 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-05 grade level) that demonstrates:
- Experience using/creating word processing documents, spreadsheets, and database systems.
- Make travel reservations and arrangements, assists employees with accurate timesheet reporting.
- Maintains records of attendance, leave and overtime, office files and Employee Performance Folders, adhering to records management and retention policies.
- Purchasing routine supplies, equipment or services using established procurement methods.
- Reviewing a variety of reports and correspondence for accuracy, preparing forms and documents for signature.
- Enters and retrieves information from a variety of computer systems.
Note: There is no education substitution for this grade level.

Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
