The position is organizationally aligned in Nutrition &Food Services under the supervision of the Clinical Nutrition Manager and MOVE! Coordinator.. The Advanced MSA position provides specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model.
Duties
Major duties include but are not limited to:
Assists with clinic access contingency plans by adjusting appointment times, location, or dates as well as shift patients to other nutrition providers or MOVE!
Validates and updates patient demographic information, either in person or over the phone to decrease the incidence of returned mail due to incorrect addresses and inability to contact patient by phone due to incorrect number.
Collects, scans, and updates health insurance information serving a major role in the revenue process.
Explains the VA's mandate to collect insurance information to Veterans, their families, and other eligible patients.
Contributes to the revenue collection process by identifying patients with third party insurance.
Notifies his/her supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes.
Interpret and communicate requirements for such areas Care in the Community, Health Benefits, Emergency Room, Ward Administration, and any other services with approved MSAs.

Basic Requirements:

In order to qualify for Advanced Medical Support Assistant, GS-0679-06 you must possess the following:
Experience. One year of experience equivalent to the next lower grade level (GS-05). Examples of experience at the next lower grade must include; Knowledge of medical terminology, scheduling appointments (including interpreting and verifying provider orders), canceling, re-scheduling patient's appointments and/or consults; use of Microsoft Office, entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other facilities or hospitals; performing basic eligibility, co-pays and pre-authorization requirements for specific coverage, and other related support work in a health care setting.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:
Ability to collaborate, communicate, set priorities, and organize the work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
Ability to communicate tactfully and effectively, both orally and in writing, to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational level.
Advanced knowledge of the technical health care process as it relates to access to care.
Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.
Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
GS-06 Advanced Medical Support Assistant Assignment:
The Advanced MSA works collaboratively in an interdisciplinary coordinated care delivery model and performs receptionist duties, as needed, customer services and other duties assigned for the proper and timely treatment of patients. The MSA maintains appointment schedules for one or more of the outpatients and MOVE! clinics. The incumbent must assist with clinic access contingency plans by adjusting appointment times, location, or dates as well as shift patients to other nutrition providers or MOVE! instructors as conflict with staffing and/or coverage occurs.
Preferred Experience:
Pt care/contact experience with good customer service; demonstrates ability to learn new skills such as scheduling.

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers or books. Significant use of computer and computer keyboard generated assessments requires basic typing and data tracking ability.
