This position is located in the Executive Office at the VA Portland Health Care System (VAPHCS). This position reports directly to the Healthcare System Executives and provides administrative support to all employees of the Executive Office.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-8. At the GS-7 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-8. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of funds. Major Duties: Manages Executives' schedules and day-to-day plans and manages Executives' calendars and events including scheduling appointments and tracking and managing to-do items. Develops and implement various tracking systems for suspense items, signature logs, and performance tracking. Works on special projects such as pay for performance, suspense action items, data collection and reporting. Acts as a liaison to and maintains communications with persons or groups within an outside of the Executive Office, speaking for the Executive on administrative issues. Welcomes, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public. Coordinates and manages various meetings and develops meeting minutes. Staff meetings include leaders serving at two different locations. Incumbent is responsible for ensuring that all IT equipment, presentations and logistics are ready for meetings. Maintains critical action items that are time sensitive and communicates within twenty-four hours of meeting. Processes incoming and outgoing materials such as correspondence, reports, memorandum, and other forms of written communication. Edits and composes letters and reports and reviews correspondence for accuracy and completeness providing editorial and grammatical review of important communications. Develops background information and prepares outlines for the Executives' public speaking engagements, papers, and correspondence/reports. Ensures reports, correspondence, and other matters requiring action or response have systems in place to meet deadlines and have quality results. Prepares presentations and other documents including travel documents. Collects, compiles and tracks data on staff performance measures such as meeting attendance and training. Performs timekeeping. Performs other related duties as assigned. Work Schedule: Monday - Friday, 7:30am to 4:00pm??????? Qualifications

TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. In addition to the typing proficiency requirement, the following grade requirements apply: GS-7 Specialized Experience Requirement: At least one full year of specialized experience equivalent to the GS-6 level or higher that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. Specialized experience is experience performing executive administrative support duties including all or most of the following: managing an office calendar, scheduling appointments and meetings, preparing meeting agendas and taking meeting minutes, reception (greeting visitors and answering phones), preparing correspondence and reports, timekeeping, data entry, maintaining electronic files, and utilizing office automation software. GS-8 Specialized Experience Requirement: At least one full year of specialized experience equivalent to the GS-7 level or higher that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. Specialized experience is experience performing executive administrative support duties including all or most of the following: managing an office calendar, scheduling appointments and meetings, preparing meeting agendas and taking meeting minutes, reception (greeting visitors and answering phones), preparing correspondence and reports, responding to office communication, and performing timekeeping. This experience must be detailed in your resume to receive credit. You will be rated on the following Competencies as part of the assessment questionnaire for this position: Administration and ManagementCommunicationManages and Organizes Information IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
