This position is located in the Mental Health Services (MHS) of the Oscar G. Johnson VA Medical Center in Iron Mountain, Michigan. The incumbent performs a variety of administrative duties essential to the direction and operation of the MHS. Works directly with the Service Chief, and designees in support of efforts to improve the efficiency, effectiveness, and productivity of MHS programs.

Duties

This position is located in the Mental Health Services (MHS) of the Oscar G. Johnson VA Medical Center in Iron Mountain, Michigan. The incumbent performs a variety of administrative duties essential to the direction and operation of the MHS. Works directly with the Service Chief, and designees in support of efforts to improve the efficiency, effectiveness, and productivity of MHS programs. The program Assistant serves as a point of contact for collecting, consolidating, monitoring, coordinating, developing, and analyzing data for the MHS programs. Prepares, maintains, reviews and certifies time and attendance reports as primary timekeeper. Receives all visitors and telephone calls to Mental Health Services. Schedules or reschedules patient appointments. Collects, organizes and analyzes data to establish performance indicators. Ensures that highly sensitive data is secure and handled appropriately. Uses word processing, database and spreadsheet applications to process and produce a wide range of documents in support of the office functions. Performs administrative/clerical duties relative to the accomplishment of administrative matters for the Program and for the Service Chief. Prepares purchase orders for medical unit supplies and equipment via purchase card and completing the necessary auditing procedures to balance/reconcile purchase card charges. Maintains Service Chief Calendar and schedules appointments and meetings, and coordinates logistics for conferences, as required. Completes the Service Chiefs electronic travel requests and expense reports. Performs other related duties as assigned. Work Schedule: Monday-Friday, 8:00am-4:30pm Telework: This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/18/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: GS-06 Level: Must possess one full year of specialized experience equivalent to at least the next lower level (GS-05) in the Federal Service. Specialized experience is experience that has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position. Specialized experience for this position includes: Possessing the ability to type 40 words per minute. Planning and organizing the activities of an office including reception duties, distributing mail, arranging conferences/meetings, preparing correspondence, documents and reports. Writing skills to prepare clear, concise reports that describe the data collection techniques and other processes and procedures used, conditions of management operations, and recommended improvements. Compiling data through the use of database or spreadsheets and identifying errors and/or omissions. Knowledge of timekeeping regulations and procedures. Experience working with the duties, priorities, policies, SOP's, and commitments of an organization/department in order to provide the necessary administrative support. Using various Microsoft Office programs, database programs and office equipment. NOTE: TYPING PROFICIENCY: This position requires the ability to type 40 WPM. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work requires no special physical demands. It may involve some walking, standing, bending, or carrying of light items.
