You will serve as a Secretary to the Associate Chief of Staff, Mental Health at the Alaska VA Healthcare System, Anchorage, Alaska.
Duties
You will independently collect all needed documents for recruitment packages and works with Administrative Officer to ensure it is correctly submitted to all HR systems.
You will prepare correspondence, reports, minutes, and records for final drafting, ensuring correct editing and formatting.
You will maintain the documentation associated with the Psychology & Social Work Internship or Training Programs including trainee evaluations, policies, handbooks, memos, and documentation needed for year-end reports and accreditation cycles.
You will ensure compliance with all requisite documentation for accreditation and for presentations, including grand rounds and training seminars and independently initiates required documents such as affiliation memoranda.
You will attend meetings, take notes, complete minutes and communicate with individuals at all levels of the organization and the community with professionalism and tact.
You will provide program support to the Associate Chief of Staff, Mental Health, outpatient Mental Health Service line Chiefs, Internship Training Programs, and Psychology Internship Training Committee activities to include planning, logistics, and administration of all activities.
You will independently coordinate interviews, orientation, and in-processing of new employees and interns and ensures appropriate rooms and equipment are reserved for meetings, conferences and lectures.
You will create, maintain, and ensure accuracy of computerized record systems, databases and be able to effectively use enterprise software, electronic medical record, VISTA, and other office equipment.
You will receive and direct visitors and staff in person, by email, and by telephone, including social work and psychology graduate practicum students, psychology interns, and program applicants.
Work Schedule: Monday - Friday 8:00 am - 4:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/16/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: prepare and review correspondence, schedule meetings and appointments, take notes and minutes during meetings and conferences, respond to phone queries, maintains personnel documents, policies, handbooks, memos, and reports (such as: year-end reports, policy questions, replies to inquiries arranging meeting rooms and troubleshoot equipment outages).

Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required such as warehouse or office supply inventory and carrying/moving of basic equipment and other materials.
