This position is located in the Department of Veteran Affairs (VA), Veteran Health Administration (VHA), James A. Haley (VISN 8), VA, Medical Center, Spinal Cord Injury/ Disorders, Tampa, Florida. The incumbent serves as a Secretary for Spinal Cord Injury Service performing a variety of administrative duties which support both the work of the Chief, SCI/D Service, Administrative Officer, and other support staff.

Duties

Major duties include but not limited to: Screens calls that come to the administrative suite, handling those that can be resolved independently and forwarding to the Admin Officer only those calls requiring attention. Responsible for the clerical and routine management of the Office of the Chief, SCI and those who have offices in the administrative suite of SCI. Greets all visitors who come into the administrative suite and determines the nature of the visit. Maintains the SCI Chief's calendar, schedules appointments and meetings based on Chief's workload and current issues of importance Serves as primary source for ordering office supplies for the Service Works as the Services TMS Coordinator Maintains and coordinates provider on call schedules Creates and maintains competency folders on staff assigned under the SCI Chief Primary timekeeper for the Service Maintains all staff contact rosters Formulates meeting minutes and agendas for monthly & weekly meetings. Formulates and coordinates FPPE and OPPE folders and documents Maintains effective office systems (including files and report automation), travel procedures (including reservations and itinerary), and communication on special procedure Screens publications, directives, correspondence, etc., and brings items of significance from those publications to the attention of service line leadership as appropriate. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/15/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Coordinating appointments, travel, scheduling, recording meeting minutes, and maintaining calendars. Skill in using software applications such as such as Microsoft Word, Excel, and data bases such as VISTA and CPRS. Manages all incoming and outgoing correspondence, assists in assembling documents for distribution. Ability to interact collaboratively with others to provide consultation and liaison services.
