This position serves as a Program Support Assistant to the Chief, Mental Health at the Ann Arbor Medical Center. The position performs clerical and administrative support duties for professional staff upon request and for the Mental Health Administrative Officer.
Duties

Major duties and responsibilities include:
Responsible for documentation and initiation of paperwork necessary for professional staff, Consultants and Attendings, and Fellow appointments to the clinical staff for presentation to the Professional Standards Board.
Screening in-person and telephone inquiries using sound judgement and knowledge to provide accurate information and answer substantive questions regarding operations of the service.
Editing materials for proper format, spelling, punctuation and in keeping with administration policies and procedures.
Reviewing and controlling incoming and outgoing correspondence.
Screening, sorting and distributing mail service-wide.
Serving as primary timekeeper, accurately maintaining timecards, overtime/compensatory authorizations and leave records.
Responsible for six-part personnel files assuring all necessary documents are maintained and are up to date.
Responsible for preparing monthly/weekly staff meeting agenda for Administrative Officer and Service Chief, meeting notices to staff, scribing minutes of meeting, obtaining Service Chief's signature on finalized minutes and posting minutes to Mental Health SharePoint.
Performing other duties as assigned.
Work Schedule: Monday-Friday, 8:00am to 4:30pm

Qualifications
IN ORDER TO QUALIFY FOR THIS POSITION AT THE GS-6 LEVEL YOU MUST MEET THE FOLLOWING:
SPECIALIZED EXPERIENCE: You must possess 1 (one) year of specialized experience, equivalent to the GS-5 level in the Federal service, that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Program Support Assistant position to be filled. Specialized experience for this position includes screening in-person and telephone inquiries; utilizing computer software such as Microsoft Office to compose, draft and edit correspondence; performing timekeeping duties for a work unit; performing a variety of administrative duties such as records and file management, creating reports, and tracking suspense items. (THIS EXPERIENCE MUST BE SUPPORTED BY YOUR RESUME TO BE CREDITABLE.)

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The incumbent's work is mostly sedentary. However, some walking, standing, bending and carrying light items is required. The work environment involves the normal risks and discomforts typical of administrative work in a medical care delivery setting. The incumbent and supervisor observe general safety guidelines.
