You are based at VA Puget Sound Healthcare System and serves as the Program Support Assistant for the Nurse Executive Office (NEO).

Duties

Collates and presents the appropriate information at section meetings and prepares the required documentation for forwarding to the Medical Staff Office and Clinical Executive Board for final review and action. Receiving telephone calls and visitors, personally taking care of matters .and questions and serving as a point of contact for vendors, fellows, residents, faculty members, staff members and applicants for training positions. Serving as a liaison for issues concerning licensing and credentialing of professional staff including WOC consultants/instructors and maintaining a up-to-date listing of various staff members by type of clinical rotation. Keeping management informed of new and changing administrative requirements in the facility, VISN and VACO. Coordinating the administrative activities of Nursing Education programs to include the shared programs with the Schools of Nursing, as well as the training programs at the VA sites in Bachelor of Nursing, doctor of nurse practice, associated degree of nursing, masters of nursing, RN residency and Clinical Nurse Leader (CNL). Maintaining required training records for paid and WOC staff and ensuring the records comply with Joint Commission requirements, VHA regulations, and the requirements of the Health Care System. Keeping the supervisor's calendar, scheduling appointments and conferences independently and without prior approval and seeing that the supervisor is fully briefed on the matters to be considered. Responsible for records management; gathers and maintains information and statistical data for recurring and non-recurring Medical Center and University reports. Receiving incoming correspondence and reports, screening those items that can be handled personally and forwarding the rest to the supervisor or staff. Providing administrative oversight of the program support processes in Seattle, American Lake, and CBOCs. Performing a variety of special projects either independently or in concert with other medical center staff. Assisting with the budget formulation, justification and execution, and financial reporting by assisting ACN/E and supervisor with developing budget data and justifications to review and approve, preparing the budget package for submission to the budget office and responding to questions from that office. Work Schedule: Monday-Friday 7:30am-4:00pm Position Description Title/PD#: Administrative Support Assistant (OA)/PD408700 Physical Requirements: The work is sedentary. There may be some walking, standing, bending, carrying of light items such as papers, books and manuals. No special physical demands are required to perform the work. Travel via shuttle or automobile between the Seattle, American Lake divisions and/or Federal Center South is required on an occasional basis.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-07 Specialized Experience: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: coordinate administrative activities; develop, edit, proofread various forms of correspondence; schedule appointments and conferences; update plans, develop and maintain reports; collaborate with staff and vendors; adhere to deadlines, tracking, collecting data and reporting metrics according to established goals; demonstrate excellent communication, customer service, and teamwork. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
