The Lead Program Support Assistants provide technical and administrative assistance to the Administrative Office/ Health System Specialist (AO/HSS) for the Brooklyn Campus Surgical Service for the New York Harbor Healthcare System (NYHHS). The Surgical Service supports 9 major sub-specialty sections and VISN 2 referral centers.
Duties

Duties may include but are not limited to:
Serves backup to the Administrative Officer
Maintains a professional working relationship with all staff and participates as a team player in medical center activities directed toward achieving hospital mission and vision.
Monitor and manage daily functions of all assigned areas including but not limited to performance measures; scheduling functions; billing encounter actions; electronic wait list; consult review; scheduling audits, completion of encounters, labor mapping, discharge summaries and operation reports.
Serves in a liaison capacity between the Administrative Officer, providers and other PSA's.
Conducts effective and positive communications with all Surgical Service staff.
Managing Data Warehouse by preparing statistical compilations by addressing all subsets and their status for the service.
Assists in compiling data for annual and recurring reports.
Act as an ADPAC for the service.
Performs office automation duties using such software applications as electronic mail, calendar, spreadsheet, Grid validation, Clinic Wait Times, Clinic modification and cancellation, MSS Smart COR Certified
Creates new scheduling clinics, making changes in clinic availability and restoring clinic availability.
Responsible for maintaining and posting entries for automated timecards, ensures that proper posting of tours, verifies sick/annual leave use; accuracy/completeness of entries; corrects annotations and reviews for appropriate approvals; corrects erroneous entries and maintains appropriate records/files.
Performs the following types of duties composes and edits letters and reports, reviews correspondence for accuracy and completeness, develops standard or form letters to inquiries, prepares correspondence for executive leadership in response to action items, and quarterly reports.

Physical Requirements: Most of the work is performed while seated and is primarily sedentary. However, the incumbent may frequently walk to various areas within the Surgical Service or other offices throughout the Surgical Center, carrying light items such as office supplies and files.
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/10/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative and technical support for the management of various programs; maintaining databases and utilizing various software programs; scheduling appointments and typing a variety of correspondence. Experience working as a liaison to payroll and HR for employee actions. Experience with obtaining computer access for staff assigned to the department. Experience managing administrative responsibilities in an office setting.
There is no educational substitution for the GS-08 level.
