This position serves as a Secretary and the incumbent will perform secretarial duties for the Executive Assistant at the VISN 7 Network Business Office in Duluth, Georgia.
Duties
Responsibilities include, but are not limited to:
Facilitate the administrative, clerical, and personal commitments and responsibilities of the Executive Assistant
Respond to inquiries and administrative problems brought to the executive office by members of the staff and officials of the agency's central office, State and local governments, other hospitals and organizations, other Federal agencies, and congressional staff
Maintain daily calendar, schedules appointments, conferences, and meetings and coordinates required attendee, prepares, and distributes agendas and minutes.
Orders the office supplies.
Coordinate and arrange training and travel requests, ensures training material and travel documents are prepared for attendance.
Prepare letters, memorandum, messages, and agendas and minutes, either self-composed, from handwritten notes, dictation or recorded media with responsibility for content, format, grammar, punctuation, and spelling.
Serves as a timekeeper.
Responsible for providing assistance with a variety of problems and inquiries which are received in person, telephonically, or by referral from other secretaries, receptionists or support staff in the organization.
Determine nature of call or business of visitors, if business requires the attention of technical or staff specialists, decides whether the importance of business such as to require personal attention of superiors or if the visitor should be referred to the appropriate organizational component concerned with specific subject.
Transmit agenda and all necessary background material to participants and advises them of the topics to be discussed.
Utilize a variety of office automation systems and various software packages to accomplish work..
Prepare a variety of narrative and statistical material, correspondence, reports, etc., in final form for supervisor's signature.
Knowledge of the duties, priorities, commitments, policies, and program goals of the staff sufficient to perform non-routine assignments.
Set up conferences requiring the planning and arranging of travel and hotel accommodations for conference participants when this is based on knowledge of the schedules and commitments of the participants.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/04/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-8 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to: Clerical and administrative support of an organizational unit (maintain daily calendar; schedules and coordinates appointments, conferences, travel arrangements and meetings; prepares, and distributes agendas and minutes); office supply procurement and requisition experience; extensive experience with operation of computer hardware and use of computer software; effectively communicate orally and in writing with senior leadership; develop, prepare and and present findings and/or reports.

Physical Requirements: The work places no special physical demands on the employee. The work includes some walking, standing, bending and carrying of light items as paper and books.
