The incumbent serves as a Lead Medical Support Assistant (LMSA) within Community Care (CITC) at VA Illiana Health Care System (VAIHCS). The incumbent provides support to the CITC Supervisory Medical Support Assistant and to the Medical Support Assistant (MSA) staff. The incumbent is responsible for a wide range of assignments and provides administrative support to the section.
Duties
Monitors and makes work assignments for lower grade MSA positions.
Provides input on MSA performance and resolves workplace issues.
Works with supervisor to plan, distribute, and balance MSA workload.
Provides educational sessions to train new employees on call center processes in an efficient and effective manner to ensure functions and goals are understood and met.
Responsible for preparation of various reports in support of performance measures and monitors for submission to Service Line, Facility and VISN leadership.
Schedules appointments timely and accurately in accordance with VHA directives.
Ensures data is entered in CPRS and other CITC programs accurately.
Prepares correspondence, reports and memos, as needed.
Screens/receives phone calls in a courteous and timely manner, determines the nature of request and provides the information desired using privacy rules and established clinic processes.
Communicates and interacts with patients in a manner which is appropriate to cognitive, emotional, and chronological maturation needs of the adult and/or geriatric patient.
Assures that all appropriate VA forms are used correctly, and regulations followed.
Entering hospital notification and community care coordination plan notes, performing basic eligibility requirements for Community Care programs, obtaining medical records.
Additional duties or tasks may be assigned by the supervisor to ensure efficient daily operations.
Work Schedule: 7:30 am to 4:00 pm, Monday to Friday

Qualifications
BASIC REQUIREMENTS:
The following are the basic requirements and amounts of experience and/or education required to qualify for this position. Creditable experience is defined as, experience that demonstrates the knowledge, skills, and abilities (KSA's) associated with current Medical Support Assistant responsibilities. Experience satisfying this requirement may be paid/non-paid employment as a Medical Support Assistant.
English: Must be proficient in basic written and spoken English.
Education/Experience: Must possess six (6) months experience of clerical, office, customer service or other administrative work that indicates the ability to acquire the particular knowledge and skill necessary to perform the duties of the Medical Support Assistant.
OR
Must have successfully completed one (1) year above high school. This education must have been obtained in an accredited technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (Transcript Required)
OR
Equivalent combinations of experience and education are qualifying for entry level. (TRANSCRIPTS REQUIRED)
IN ADDITION TO MEETING THE BASIC REQUIREMENTS LISTED ABOVE, YOU MUST MEET THE GRADE REQUIREMENTS AT THE GS-06 LEVEL TO QUALIFY FOR THIS POSITION.
GS-6 LEVEL GRADE REQUIREMENTS:
Must have one (1) year of experience that is directly related to the duties of an MSA and that equips you with the particular knowledge, skills, and abilities to perform successfully the duties of this position. To be creditable, this experience must be equivalent to the next lower grade level, GS-05, and demonstrate the knowledge, skills, and abilities associated with current MSA responsibilities. Experience at this level includes but is not limited to: scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing emergency and non-emergency transfers to other VA facilities or private hospitals; and performing basic eligibility, co-pays and preauthorization requirements for specific coverage (i.e., TRICARE, sharing agreements, etc.).
AND
Knowledge, Skills and Abilities (KSAs): In addition, applicants must demonstrate the following KSAs:
1. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
2. Skill in communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations.
3. Ability to provide staff development and training.
4. Ability to manage staffing requirements, manage priorities, and coordinate with staff in the unit in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work.
5. Ability to review and monitor data to ensure all reports are complete and accurate.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is mostly sedentary with walking, standing, bending and light lifting.
