This position is located in the Veterans Administration (VA), Veterans Health Administration (VHA), Mid Atlantic Health Care Network (VISN6), Salem Medical Center (VAMC), Salem, VA. and is located in the Women's Health Clinic section within Primary Care Service. This position provides administrative and program support by maintaining operations for quality gender-specific services for women veterans within the Women's Health Clinic section.
Duties
Duties include, but may not be limited to the following:
Administrative/Clerical 70%
The incumbent performs a variety of administrative tasks associated with maintaining and supporting the operation of the Women Veteran Program (WVP) under the direction of the Women Veterans Program Manager (WVPM).
Responsible for collecting data from a variety of database systems including VSSC, Pyramid Analytics, VA Data Warehouses, and the Women's Health (WH) Data Portal to prepare detailed reports, create graphs to track and trend metrics and outcomes on data for management.
Assist the WVPM in report compilation as needed for facility, VISN or National committees.
Coordinate meetings for the Women Veterans Program Manager and the Women's Health Medical Director as relates to their respective roles and health care system committee memberships.
Track Women's Health policies (including facility WH SOPs, MCPs) that are nearing expiration.
Assist in reformatting and monitoring the procedure or policy through the approval process.
Disseminate information to staff and teams when policies have been updated, ensuring these are saved and tracked in appropriate place.
Identify and determine if action is needed by clinical staff for timely completion or resolution.
Attend weekly environment of care rounds when WVPM or WMH Liaison are not able to attend.
Customer Service and Outreach Support 20%
Assist with coordinating and promoting monthly outreach campaigns from the Office of Women's Health; assists in community outreach initiatives to locate and identify women veterans in need of services provided by the SVAHCS. Such duties include but are not limited to monitoring the Office of Women's Health for upcoming monthly campaigns and providing campaign information to the Public Affairs Officer to help promote to the public and within the VA organization.
Participate in community outreach initiatives locating and identifying women veterans in need of service and accepting donations in conjunction with the Center for Development and Civic Engagement.
Direct and Indirect Patient Care Services 10%
Coordinate program enrollment and provides guidance pertaining to VA benefits and services applicable to women veterans.
Engage directly with women veterans to help address patient care and service delivery concerns.
Respond to inquiries from the Women Veterans National Call Center after consulting with subject matter experts to determine the resolution prior to follow-up.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/03/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience GS-06: Do you have at least one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties the Program Support Assistant at the full performance level (GS-6), and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service. Examples of specialized experience would typically include, but are not limited to:
Collect data from a variety of database systems including VSSC, Pyramid Analytics, VA Data Warehouses, and the Women's Health (WH) Data
Maintain and support the operation of the Women Veteran Program
Identify issues, problems, or conditions and seeking alternative solutions based on evaluation of the intent of applicable rules, regulations, and procedures
Answering inquiries from customers managing/screening incoming and outgoing correspondence
Knowledge of guidelines and precedent case actions relating to a program area equal to that acquired through considerable work experience or
specialized training.
Specialized Experience GS-07: Do you have at least one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties the Program Support Assistant at the full performance level (GS-7), and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-6) in the Federal service. Examples of specialized experience would typically include, but are not limited to:
Identifying and studying factors or conditions and determining their interrelationships as appropriate to the defined area of work.
Knowledge of veteran health care policies, processes, and regulations that affect administrative operations and areas of responsibility.
Understanding of program related goals, services, mission, and objectives
Knowledge of the Women Veterans Program as they relate to administrative functions.
Recognize the dimensions of the problems involved, collect the necessary information, establish the facts, and take or recommend action based upon application or interpretation of established guidelines.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have completed 4 years of education above the high school level leading to a bachelor's degree from an accredited business, secretarial or technical school, junior college, college or university related to the occupation
OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and. education that is equivalent to the 1 year of specialized experience required. (Note: Only education beyond the first 60 semester hours is creditable when combining experience and education. One full academic year of study beyond the second year is equivalent to 6 months of specialized experience.)

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, donations, or small parts, and setting up for events. No special physical demands are required
to perform the work.
