This announcement has two vacancies: one is located within Patient Care Services, under the Whole Health Program and the other located in the Chief of Staff Office at the Tomah VA Medical Center, Tomah, Wisconsin. This job opportunity announcement may be used to fill additional vacancies as needed.

Duties

The Program Support Assistant duties for Whole Health are as follows: Schedules appointments, coordinates meetings, and/or schedules conferences. Supports Whole Health Program staff in day to day operations, which may include assisting with travel requests for staff and supporting volunteers assisting the program. Serves as the secondary ADPAC support person for assigned services within Whole Health Program. Provides information to staff regarding changes/improvements for computer programs utilized by the Whole Health Program staff. Provides technical assistance for staff regarding computer/printer problems and refers issues that cannot be resolved to OI&T for resolution. Assists in the training for staff regarding use of computer applications to include Vista, CPRS, Outlook, Word, Access, Power Point and Excel. Serves as a secondary Whole Health Program Point of Contact for computers, printers and telephones to include submission and tracking of OI&T Requests. Supports Public Key Infrastructure (PKI) and Rights Management access for all Whole Health Program Staff to ensure we follow security requirements. Processes and prepares incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Attends assigned meetings, prepares meeting minutes, and follows up on action items with appropriate staff members. Collaborates with medical center services and programs such as Community Outreach Clinics, to include Health Promotion and Disease Prevention, Patient Centered Care, Integrated Health Clinic, Pain University, Whole Health University, Women's Clinic, Whole Health within PACT, Mental Health and Physical Medicine and Rehabilitation Services; VHA offices and community organization The Program Support Assistant duties for Chief of Staff are as follows: Supports Credentialing and Privileging Office staff in day-to-day operations, which may include assisting with processing and supporting providers and service line staff assisting the program. Identifies problem areas requiring attention of management. Schedule appointments, coordinate meetings, and/or schedule conferences. Provides general clerical services relative to calendar maintenance such as updating calendars and recording appointments and arranging for meeting. Receives visitors and fields telephone calls in a professional and confidential manner. Responsible for the execution of Human Resources administrative management responsibilities pertaining to recruitment, selection, promotion, and awards. Processes and prepares incoming and outgoing materials such as correspondence, reports, memoranda, Credentialing and Privileging Office suspense's, and other forms of written communication. Reviews documents for accuracy, spelling, and format assuring final submissions are error free, meet timelines, and appear professional. May review the work of others, making corrections and mentoring other clerical staff. Serves as the primary Automated Data Package Application Coordinator (ADPAC) for Credentialing and Privileging Office providing administrative, technical, analytical, and Automated Data Processing (ADP) support. Assists in the training for staff regarding use of computer applications to include Vista, Electronic Health Record (EHR), Outlook, Word, Access, Power Point and Excel. Work Schedule: Monday-Friday 8:00am-4:30pm Position Description Title/PD#: Program Support Assistant/PD17238O Physical Requirements: The work is primarily sedentary at a desk and work station area. However, there may be some walking, standing, bending, and carrying of light items like papers, reports, files, or possibly moving computer equipment. May stand to great visitors and escort people to meeting areas. No special physical demands are required to perform the work.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Knowledge of hospital policies and procedures. Knowledge of medical terminology and technical data. Working knowledge of personal computers and use of software: Windows, Microsoft Word, Access, Excel, Power Point and the VISTA Computer System, CPRS. Knowledge of medical center programs as they relate to Patient Care Services/Whole Health Program and the services provided. Knowledge of the goals, priorities, and policies to assemble information to be used for reports and responses in inquiries, to compose correspondence related to Whole Health Program. Ability to prioritize multiple important assignments and communicate effectively with Supervisor and others in addressing needs of the medical center. Ability to plan, organize and coordinate work. There is no educational substitution for the GS-06 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
