About the Position: This position serves as Executive Secretary to a Division Director. Responsible for carrying out and coordinating clerical, procedural, and administrative support duties required to facilitate the work of the Division office.

Duties

Reviews incoming and outgoing correspondence, determining proper action. Provides guidance to Division staff and other assistance for implementation of and changes to policies in accordance with the Division executive office. Answers the telephone and greets visitors to the office. Exercises control over the Director’s appointments, and is responsible for setting up, rearranging, and when necessary, coordinating meetings with staff offices. Prepares detailed itinerary for official travel. Takes summary notes of official, personal, and confidential records for Division Director.

This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06). OR Education: One full year of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, in any degree field. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) by 18. Add the two percentages. Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-06). . Minimum Qualifications GS-08: Specialized Experience: One year of specialized experience which includes coordinating conferences, meetings, and or events for management; advising staff within the organization on administrative policies and/or appropriate procedures; and preparing a wide variety of recurring internal reports and/or documents. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-07). OR Education: One and a half years of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, in any degree field. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond one year (total semester hours minus 18) by 9. Add the two percentages. Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-07). This position requires a typing proficiency of at least 40 words per minute (WPM) based on a 5-minute sample with 3 or fewer errors.
