This position is located in the Office of General Surgery of the VA Medical Center in Birmingham, AL.
Duties

Major Duties:
Receives schedules, refits, and contacts members of the staff, facility, and persons outside the agency;
Schedules, coordinates, and maintains meetings, conferences, patient appointments, and other such engagements on behalf of the Chief;
Provides telephone and receptionist services for the office;
Receives and controls incoming correspondence;
Processes incoming and outgoing materials such as correspondence, reports, mail, memoranda, and other forms of written communication;
Prepares manuscripts, grant proposals, statistical reports, tables, and charts using knowledge of scientific medical and/or other technical terms;
Evaluates data collection forms and coordinates incoming data from a variety of sources;
Researches, prepares, and reviews documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate;
Maintains an automated system of program-specific data to track suspense file on reports, response due dates, discovery requests, etc.;
Monitors and reviews monthly department expenditures, invoices, and delivery notices and accesses the computer system to find, review, and/or reconcile purchase orders;
Performs typing or transcribing duties;
Files material and develops and maintains office filing systems;
Schedules and coordinates appointments, meetings, and conferences;
Attends meetings, prepares meeting minutes, and follows up on action items with the appropriate staff independently;
Coordinates employee travel arrangements and accommodations;
Keeps abreast of various procedural requirements, for example, procedures required to process vendor purchases, travel vouchers, and timecards;
Uses data obtained from several sources to compile all required monthly/quarterly reports;
Monitors the use of office supplies for the entire service and purchases supplies as needed using purchase card;
Complies with all acquisition regulations, reconciles purchase card charges, and resolves any disputes of unknown or incorrect charges within established time limits;
Collects, compiles, and/or tracks data and statistical information;
Performs related duties as required.
Work Schedule: Monday - Friday - 8:00AM - 4:30PM

Qualifications
THERE IS A TYPING PROFICIENCY REQUIREMENT: This position requires the ability to type 40 words or more per minute.

MINIMUM QUALIFICATIONS GS-06: One year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties of this position, and that is typically in or related to the position. To be creditable, specialized experience must have been equivalent to at least the GS-05 grade level in Federal service. Specialized experience includes: performing clerical duties in an office environment; maintaining and ordering office supplies; ensuring the completeness and accuracy of office documents/files, including travel vouchers and employee timecards. This experience must be detailed in your resume to receive credit.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work, however there may be walking, standing, bending and carrying of light items like papers or books, driving an automobile, etc. No special physical demands are required to perform work.
