The Program Support Assistant (PSA) is assigned to the Employee and Occupational Health (EOH) Clinic at the VA Ann Arbor Healthcare System (VAAAHS) and reports directly to the Ambulatory Care Services Administrative Officer. The EOH PSA is an integral member of the EOH Team and is expected to be self-directed on a day to day basis and to coordinate the workflow of the clinic. He or she is the Service' Medical Records Liaison and is responsible for managing all EOH surveillance programs.
Duties
Major Duties and Responsibilities:
Medical Examinations & Surveillance Programs Management-
Coordinating exams with Volunteer Services, Emergency Response, the Police Department, etc. to ensure supervisors are aware of employees' and volunteers' medical fitness status and to prevent unnecessary removal of employees and volunteers from full duty status.
Coordinates and arranges supervisor and HR request documentation, necessary pre-exam questionnaires, tests, studies, and consults etc. and coordinate these so the results of each are ready prior to the EOH examination where possible
Assists with scheduling initial and follow up appointments; ensures appropriate releases are obtained and then and only then forwards all related clinical notes, labs, studies etc. to the HR OWCP Liaison in a timely manner.
Medical Records Liaison-
Ensures each medical record not checked out to a provider or nurse is filed or stored daily with contents appropriately organized and secured.
Ensures the medical records of the Service are maintained and secured, tracked, retired, built, etc. in accordance with official policy and in coordination with the VAAAHS Records Manager.
Current awareness with applicable laws and rules that apply to some or all of the medical records for the EOH clinic and ensure compliance with the same in accordance with the requirements of OSHA, Office of Personnel Management (OPM), the Americans with Disabilities Act as Amended (ADAAA), the Genetic Information Non-disclosure Act (GINA) and other laws and policies unique to the management, storage, disposition, protection and release of employee medical records.
EOH Compliance Reporting Coordinator-
Familiarization with the current VHA and OSHA standards for compliance reporting, and provides regular updates, when requested, to the Service' Administrative Officer to be uploaded to the VISN 10 tracking repository and/ or appropriate national database.
Works closely with the Ambulatory Care Services Administrative Officer to track the Healthcare System's employee compliance mandates.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 6 position you must have served 52 weeks at the GS 5. The grade may have been in any occupation, but must have been held in the Federal service.

Grade Requirements GS-06:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience includes Administrative and clerical work of an office, Utilizing word processing, spreadsheets, database, and software to manage information; Manages supplies and equipment by interfacing with supply, Maintaining time and attendance records, Performing data collection and preparing reports; and Receiving calls and visitors and directing them appropriately, proficient computer skills and utilizing automated software (such as Microsoft Word, Excel, etc.);ability to multi-task with good time management skills; excellent customer service skills. NOTE: Must be reflected in your resume.

Physical Requirements: The work is sedentary. Typically, the person in this position may sit comfortably to do the work. However, there may be some walking, standing, bending and carrying of light items like papers or books. No special physical demands are required to perform the work.
