The Rehabilitation Services Division is recruiting for an Administrative Officer at the Clement J. Zablocki VA Medical Center. The Administrative Officer provides a wide range of administrative, clerical, and technical support.
Duties
Duties include, but may not be limited to the following:
Oversees a variety of administrative responsibilities and directs administrative support services to ensure that inquiries, correspondence, and actions for the area of responsibility are addressed appropriately for day to day operations. Assists with surveys.
Coordinates resource allocation for Rehab Services Division through multiple means. Maintains division EIL, enters equipment requests, orders office supplies, enters work orders, and IT tickets.
Purchase card holder: Makes individual purchases not exceeding $3,000 unless specifically authorized to do so by the VISN HCA. Reconciles purchase card charges within the established time limits. Maintains budget of divisions FCP and GPFs.
Performs duties of primary timekeeper for Rehab Services Division. Monitors timekeeping reports. Ensures accuracy of staff timecards and communicates with management regarding timecard issues.
Coordinates the divisions personnel management program performing or overseeing the full range of HR requirements. Assists managers with staffing requirements in MSS, USA Staffing, and ePerformance.
Provides support to division appointment scheduling requirements. Monitors reports, delegates, and/or administers action to resolve appointment, consult, and encounter data per policies.
Analyzes and evaluates the effectiveness of program operations in meeting the established goals and objectives of the designated office component.
Conducts appropriate and ongoing programmatic and administrative research and maintains accurate understanding of the multiple, diverse programs within the division.
Work Schedule: Monday through Friday, 7:30AM-4:00PM or 8:00AM-4:30PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/27/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: gathering and organizing data to generate reports; creating schedules and maintaining calendars; developing and maintaining budgets; timekeeping; writing reports, memorandums, and other written and oral communication; ordering supplies and office equipment; maintaining confidentiality; and applying analytical and evaluative methods and techniques to detect, deliberate and resolve issues or problems with practices or policies. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a master's or equivalent graduate degree or 2 full years of progressively higher-level graduate education leading to such a degree or LL.B. of J.D., if related that demonstrates the knowledge, skills, and abilities necessary to do the work of this position. Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and graduate education (in excess of the first year or 18 semester hours). Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. This work may also include walking distances between buildings, carrying/lifting small and/or lightweight office type equipment.
