POSITION IS OPEN TO CURRENT MWR ADMIN EMPLOYEES ONLY
Provides administrative and clerical support to the Fleet and Family Readiness Director. Receives and screens telephone calls and visitors, determines those which can be answered personally, and refers others as appropriate. Assembles background materials, reports and statistical data pertaining to meetings, briefings, etc.
Duties
Prepares detail or summary reports of meetings. Makes arrangements for meetings including space and time and notifies those who are to attend of the topics to be discussed. Reviews incoming and outgoing correspondence for proper format, conformance with procedural instructions, grammar, and typographical accuracy. Prepares and types correspondence using established procedures. Edits correspondence for correct spelling, grammar, clarity of expression, accuracy and consistency of facts and appropriate tone. Reads incoming correspondence, publications, regulations and directives to identify points of interest for the Director, Deputy Director and staff. Establishes and maintains superior's office files. Handles matters of a confidential and sensitive nature.
Serves as local POC for travel. Makes travel arrangements as needed. Serves as POC with region travel office. May provide advice to administrators in subordinate branches concerning such matters as reports and correspondence. Maintains the Director's calendar.
Coordinates the implementation of training programs for the department. Provides advice to departmental personnel on all aspects of training management and development. Responsible for planning, designing, scheduling, and carrying out a variety of comprehensive and complex employee training programs.
The incumbent is responsible for the administration and evaluation of a complete training and readiness program for all employees assigned to the Fleet and Family Readiness Department.
Ensures all required training is properly documented in the Total Workforce Management System (TWMS), or other mandated tracking system. Monitors system on a monthly basis and briefs management on standings. Assists facility managers with system issues and acts as liaison with command leadership for TWMS or other system related issues.
Works with no n- appropriated fund (NAF) personnel and Human Resources Offices (HROs) to track employee training and ensure all training is documented in the appropriate databases and/or personnel folders.
Coordinates logistical support for incoming trainers or instructors.
Evaluates and recommends the purchase of new training devices, materials and equipment.
Performs other duties as assigned.
Requirements
- Must meet Federal Employment suitability requirements and successful completion of background investigation. Background Investigations are conducted using fingerprint identification and completion of background inquiry forms.
- Must successfully pass the E-Verify employment verification check. Any discrepancies must be resolved as a condition of employment.
Qualifications
Three years of progressively responsible office experience which demonstrated possession of the knowledge, skills and abilities to perform the duties outlined above.
Knowledge gained through relevant experience which enables incumbent to completely and independently carry out employee development programs through proper application of a variety of training techniques.
Ability to communicate effectively both orally and in writing and to deal with people. Must be skilled in the use of a personal computer, various software programs, and be a qualified typist.
Skill in the application and utilization of such knowledge in planning and carrying out a comprehensive training program designed to fully meet the needs of the program participants.
