This position is located in the Radiology Department within the Division of Clinical Services of the Crownpoint Service Unit, Crownpoint, New Mexico. The position serves as the principle office clerical and administrative support for the supervisor and work unit in order to promote and maintain the efficient functioning of the unit.

Duties

Receives telephone and personal callers and utilizes knowledge of organization, programs, operations and procedures to make proper disposition of inquiries. Takes messages for supervisor and other in their absence or directs callers concerned with urgent matter to most appropriate staff member or organization. Observes the rules of confidentiality in the retention and dissemination of privileged information. Makes necessary arrangements for conferences, including space, time, people, etc. Prepares and types correspondence of a routine nature in response to correspondence retained for personal reply and other correspondence and materials based on brief verbal instructions or guidance from supervisor. Maintains control records of incoming correspondence and action documents to enable follow-up status and/or progress to insure timely action in accordance with established requirements and deadlines.. Reviews material requiring supervisor's signature, approval or concurrence prior to presentation. Receives requests for statistical or informative material concerning supervisor's program which can be assembled from the record. Establishes and maintains subject matter and other files necessary for conduct of work in supervisor's office. Performs other related duties as assigned.

Qualifications

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. For positions requiring positive education requirements, or if you are using education to meet all or part of the qualification requirements, you MUST submit a copy of your transcripts or an itemized list of college courses which includes equivalent information from the transcript (course title, semester/quarter hours, and grade/degree earned) in your resume. MINIMUM QUALIFICATIONS:GS-05: One (1) year of specialized experience equivalent to at least the GS-04 grade level; OR, (4) years above high school. Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: See Specialized Experience. Specialized Experience: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been at least equivalent to the next lower grade level. Examples of the type of experience that will be credited are: performing a variety of clerical/administrative support duties. This experience would include such things as planning and carrying out the work of the office; knowledge to carry out and coordinate, in a timely and effective manner; procedures or operations applied to clerical assignments; working independently; locating and summarizing information from files and documents; the use of automated systems equipment and timekeeping duties. You must meet all qualification requirements within 30 days of the closing date of the announcement. Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).

Education

Successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite is creditable at grades GS-3 through GS-5 for all positions. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

Combining Education and Experience: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below.
For GS-5 level positions, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
