Serves as a program support assistant in the Quality Management (QM) Department. In this capacity, assists in developing, coordinating, and promoting organization wide programs In Quality Management, Performance Improvement, Utilization Management, Risk Management, Patient Safety Management, Infection Prevention, and System Redesign program initiatives and other functions that support the Orlando VA Healthcare System.

Duties

Makes long distance travel arrangements. Updates the Quality Management telephone cascade. Serves as Quality Management's primary timekeeper. Acts as Quality Management Chief's surrogate on e-mail correspondence and maintains calendars for meetings & staff leave. Uses electronic mail to transmit and receive information. Responsible for proper spelling, grammar, format, etiquette, and arrangement of material. Maintains Quality Management manuals and resources to ensure directives are current. Organizes new staff orientation preparation for supervisors to include competency folders, computer access with outlook, menus needed in VistA, pager request, key request, long distance PIN number, update emergency cascade, etc. Collaborates with Quality Management staff to prepare education, training and support materials for Performance Improvement teams. Gathers, reviews, collates, analyzes, and distributes a variety of data and information submitted by clinical and administrative services and sections. Performs work involving the collection. compilation, and/or tracking of data and statistical information in support of the program's operations. Receives and processes documents and reports in accordance with established procedures. Reviews documents and reports for completeness, accuracy, and enters pertinent information into databases. Maintains Veterans Health Administrative (VHA) Quality Management databases, including Patient Safety Incident Reporting. Utilization Management Reviews, and TEMPO. Designs and launches databases, establishing data input systems, validating data among databases, and creating and disseminating reports. Prepares, executes and/or tracks program specific information. Establishes and maintains electronic files for all committee and Quality Management meeting minutes. Establishes and maintains databases for license expiration dates. due dates for performance appraisals, basic life support, mandatory training, etc. and reminds first-line supervisors of suspenses. Conducts primary source verification of OM staff licenses via the internet. Prepares for monthly Accreditation Committee meetings. Coordinates arrangements for rooms, equipment (e.g., telephones, computers, shredders), and other needs for routine and special meetings. Schedule conference meetings. Manages the inventory of office supplies for the QM Office. Collaborates with the Information Resource Management Service (IRMS) regarding technical and electronic requirements for Quality Management. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/18/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. General Adjustment SF-50's with the effective date of within the last year do not provide the information to reflect time-in-grade requirement has been met and therefore cannot be the only SF-50. If you are currently serving in a Hybrid Title 38 position, your SF-50's must reflect you have been in the position longer than one year. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-06) in the normal line of progression for the occupation in the organization. Specialized experience is defined as making travel arrangements, updating a telephone cascade, timekeeping, using emails to transmit and receive information, organizing new staff orientation, tracking data, submitting and tracking HR and hiring actions, maintaining databases and electronic files, typing meeting minutes, coordinating rooms and equipment for meetings, scheduling conference calls, and managing office supply inventory AND, Typing Proficiency: In addition to meeting experience or education requirements, applicants for these positions must be able to type at least 40 words per minute. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The wen is primarily sedentary but may require some walking, bending, stooping, standing, stretching, and carrying objects such as files/binders. Typically the incumbent sits comfortably at a desk/computer work station for regular and recurring work.
