The Executive Secretary provides administrative and secretarial support to members of the Executive Leadership Team of the Tuscaloosa VA Medical Center organization, including the Director, Associate Director, Chief of Staff and Associate Director, Patient Care Services. The organizational structure of each Executive Leader varies with the number of subordinate services, programs and departments.
Duties
The Executive Secretary receives schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public. The incumbent is regularly involved in high level contacts with visitors and callers from such organizations as Congressional offices, members of the news media, State and local officials, and high-ranking officials in the field or industry, publication groups, attorneys, presidents of major national or international firms or organizations, and/or leading representatives of foreign governments. The incumbent has contact with Veterans and their family members and provides public contact support services (general and specialized) to include answering telephones, referring visitors and providing information about the agency. Active interest in the office's programs outside the organization represent a substantial portion of the ADPCS's work time and often greatly affect the program or mission, requiring frequent program adjustments.
Work Schedule: 7:30- 4:00 p.m
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/18/2023.Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Must have a thorough knowledge of the TVAMC and VA organizational structures in order to perform support duties to the Associate Director for Patient Care Services and the specialized areas aligned. Knowledge of the duties, priorities, commitments, policies, and program goals of the staff sufficient to perform non-routine assignments is required. The incumbent has sufficient knowledge to independently problem solve, without involving supervisory staff. This position also requires independently noting and following-up on commitments made at meetings and conferences by staff members and knowledge sufficient to recognize which information is or is not relevant to the problem at hand.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
