The VA Northeast Ohio Healthcare System is recruiting for a Secretary. The Secretary will function within Social Work Service. The Secretary will provide support to the staff of Social Work Service, supervisors, and the management staff within the Office of the Chief and coordinates, understands and manages the activities to meet the administrative needs of the various programs in Social Work, these programs report to two separate Assistant Chiefs.

Duties

The Secretary duties include, but are not limited to: Develops and implements processes that meet requirements based on Social Work Programs and needs of the service. Coordinates daily administrative needs and functions, works with all programs and supervisors within Social Work to establish consistent guidelines and policies throughout the service. Resolves problems on a multitude of issues, referring problems that require further assistance to appropriate staff or Supervisors as necessary. Provides clear and concise training and guidance to all staff. Provides Customer Service to all staff, patients, and family members. Offers resolutions to problems, answers questions and provides positive communications. Prioritizes workload to meet the demands of the administrative operations of Social Work Service. Provides administrative support at all required program meetings, including notifying supervisors of matters discussed or decisions made that will affect them. Receives Veterans at the Wade Park facility, ascertaining identifying information to coordinate the Veteran's direction for services. The process shall include determining eligibility for care, ensuring all critical and required identifying information is confirmed with Veteran. Work Schedule: Monday through Friday, 8:00 a.m. to 4:30 p.m. Virtual: This is not a virtual position. In order to qualify for this position, you must meet the following requirements within 15 calendar days of the closing date listed on the announcement: Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Applicants must be eligible under the VA Interchange Agreement, having served continuously for at least one year in the other merit system under this interchange agreement. All Title 38 Veterans Canteen Service (VCS) employees must have served in their Excepted Service position for at least 90 days in order to be eligible for a position within the Competitive Service. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience may have been gained in a Clerical or Administrative Support environment operating a personal computer, preparing time and attendance reports, initiating requests for personnel action forms, formulating letters or other documents, receiving and screening mail, phone calls and visitors, and maintaining appointment calendars. Working and communicating with clients and customers to satisfy their expectations. Setting well-defined and realistic personal goals, monitoring progress, managing time effectively and managing stress effectively. Using correct English grammar, punctuation and spelling to communicate thoughts, ideas, information and messages in writing. Receiving, attending to, interpreting and responding to verbal messages and other cues such as body language in ways that are appropriate to listeners and situations. Demonstrating understanding, friendliness, courtesy, tact, empathy, cooperation, concern and politeness to others while relating well to people from varied backgrounds and situations. You will be rated on the following Competencies for this position: Manages and Organizes Information: Identifies a need; gathers, organizes, and maintains information; determines its importance and accuracy, and communicates it by a variety of methods. Project Management: Applies principles, methods, or tools for developing, scheduling, coordinating, monitoring, evaluating, and managing projects and resources, including technical performance. Customer Service: Works with clients and customers, including the general public, individuals that work in the agency, other agencies or organizations outside the government to assess their needs, provide information or assistance, resolve their problems, or satisfy their expectations; knows about available products and services, is committed to providing quality products or services. Team Building: Manages group processes; encourages and facilitates cooperation, pride, trust, and group identity; fosters commitment and team spirit; works with others to achieve goals. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary however may involve periods of walking, bending, stooping, or standing to observe work operations, carrying light weight office equipment and supplies.
