This Program Support Assistant (OA) position is located in the Nurses Service Department at the Jesse Brown VA Medical Center, Chicago, IL. This position is to provide program and administrative support to the Associate Chief of Nurse Management. Duties

Duties Include: Receives requests for information, advise when the information can be furnished and provides it personally from files and records or follows up with staff to see that it is provided. Performs work involving the collection, compilation, and or tracking of data and statistical information in support of the inpatient nursing services operation. Reviews documents and reports for completeness and enters pertinent information into an automated tracking system and creates spreadsheets/databases to track them. Prepares a wide variety of recurring and nonrecurring correspondence, reports and other documents. Update and maintains office files and records, Keep and type meeting minutes, agendas and reports. Performs office automation duties using software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and or graphics. Schedule appointments, uses email to compose and retrieve correspondence and electronic calendars to access schedules to enter appointment data for service Associate Chief Nurse. Serves as the primary Automated Data Package Application Coordinator (ADPAC) and Talent Management System (TMS) Administrator for the service. Provides technical assistance and act as liaison for staff regarding computer/printer problems and upgrade computer functions issues to OI&T and other services. Prepares and submits documentation for training and travel. Receives, schedules, refers, and contact members of the staff, agency and persons outside the agency ranging from government agencies to the general public. Maintains the appointment calendar, schedules appointments, coordinates meetings and/or arrange conferences. Remind supervisors/staff of the matter prior to meetings and makes administrative arrangements as required. Provides backup services and works closely with the Associate Chief Nurse, Inpatient Services, Nurses Services to maintain a harmonious work environment. Provides general clerical mail and correspondence services. Communicate with Human Resources regarding recruitment, selection, promotion, and awards, to ensure that all actions are completed within time frames. Place and tracks work orders to completion. Tracks order deliveries and maintains office supplies. Receives, sorts, and distributes mail to appropriate staff. Serves as the official timekeeper for the site and maintains service record cards for all employees. Tracks daily attendance, overtime, and unscheduled hours per employee. Monitors and tracks FMLA usage. Performs other related duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-6 SPECIALIZED EXPERIENCE: At least one (1) full year of specialized experience that equipped the applicant with the particular knowledge, skill, and abilities to successfully perform the duties of the Program Support Assistant, at the GS-6 grade level, and that is in or related to the work of the position to be filled. To be creditable, this experience must have been equivalent to at least the GS-5 grade level in the Federal service to qualify at the GS-6 grade level position. Examples of specialized experience include (but are not limited to): Experience in positions that required applying rules, procedures, and operations applicable to clerical assignments to receive telephone calls, greet visitors and answer nontechnical requests for information; knowledge of various office automation software processing procedures to product a wide range of documents, such as correspondence, reports, graphics or tables within text, to edit and reformat electronic drafts, and to update and revise existing databases or spreadsheets; knowledge of standard office equipment, such as computers, copiers, fax machines, and office automation systems; knowledge of the substantial range of functions within all software types to check grammar, spelling, capitalization, punctuation, formats, etc.; knowledge of timekeeping procedures; and proven ability and skill to appropriately and courteously communicate and relate to internal and external customers. Note: Evidence of experience, must be supported by detailed documentation of duties performed in positions held. Please provide such documentation on your application or resume. Also, please provide work experience information such as hours per week and starting/ending dates of employment (month and year format) to establish one (1) full year of experience. The requirement for this proof is specified in the "How to Apply" section of this announcement. As a general rule, education is not credible above the GS-5 level for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. Proficiency Requirement: In addition to meeting experience and/or education requirements, applicants for this position must show possession of the following skill. Ability to type 40 words per minute. Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates, by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Physical Demands and Work Environment: The work area is usually an adequately lighted, heated and ventilated office in a medical facility setting. The work environment involves everyday risks or discomforts that require normal safety precautions. This is primarily a sedentary position that may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels of performing keyboarding to prepare documents.
