Program Support Assistant provides direct program support for Education and Learning Service staff members, as well as the VA Medical Center staff, veterans, and visitors. Provides structured support to multiple facility programs. Independently performs a variety of clerical and administrative duties for each of these programs, which requires a sound working knowledge of hospital and service policies, procedures, and directives.
Duties
The duties are to include but not limited to:Data Collection & Tracking Support
Performs duties to ensure the effective delivery of continuing education and training to staff for the Department of Veterans Affairs to become the recognized partner of choice for employee learning. This position is the primary point of contact when furnishing training to over 3,000 staff members employed at our facility. Monitors registration for courses and independently evaluates, coordinates, and resolves any problems or discrepancies that may occur.
Perform work involving the collection, compilation, and/or tracking of data and information in support of office and program operations. Communicate deadlines or actions to be completed by staff. Ensure that facility materials of meetings are filed for the requisite period. Maintains reports to the Share Point for CO managed programs EISP, REDI, ACLS BLS, NEEI, PMDB, Tuition Reimbursement.
Assist the Health Trainee Professional team of the administrative aspects related to the provision of training to over 1700 trainees rotating through the VAMC from multiple educational institutions.
Organization Report
Develops and implements written and online questionnaires and surveys on a variety of subjects.
ADPAC: The incumbent serves as a Service Super Automated Processing Applications Coordinator (ADPAC) and resource peers for Education Services, and a CPRS technical staff. Serves as a data management resource person
S/he assists the instructor for employee development programs, such as School at Work. These programs help employees prepare to return to school and/or advance in the facility. Familiarizes these and other employees with the instructional tools available in Education Services and the Learning Innovation Center. S/he may assist those individuals who need extra assistance (such as basic computer skills) to succeed in the program.
Assists as needed with New Employee Orientation activities, including facilitation of the program.
Assist in preparation of national reports, e.g. Health Services Training Report.
Assist as needed with the TMS Dashboard and reports
Assists as back-up time keeper
Completes fingerprinting and background checks on trainees in group onboarding sessions and enters them into the WOC database for tracking purposes. Orders supplies and materials for service through the appropriate control points. Maintains inventory of forms and supplies necessary for the operation of the offices. Orders equipment as requested, obtaining stock numbers, sources, and other necessary information to complete requests. Assists with inventory as requested.
Prepares reports, minutes, and other correspondence in final form for review and signature by the Chief, Education Services and other staff. Recommends, develops and inserts tables, charts and other graphics to clearly depict the nature of statistical data needed.
Reviews and processes incoming and outgoing correspondence, records, reports, email and voicemail, routes information to appropriate staff and monitors the need for follow-up action.
Provides direct assistance to internal and external customers either in person, by phone or email.
Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/25/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS6 position you must have served 52 weeks at the GS05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You must have a current SF50 attached.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of typing, spelling, punctuation, and grammar in professional writing. Practical and functional knowledge of Microsoft Word, Outlook, Power Point, Excel and Access is required. Knowledge of the organization, function, and policy, interrelationships of all organizational elements within the Medical Center and the VA. Knowledge of procedures required to maintain computerized time and leave records of service staff and to prepare forms required for various personnel actions.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The majority of the work is sedentary but may include some physical effort, such as walking, standing, bending, sitting, and light lifting. There are no special physical demands.
