The position is located in the Access & Office of Community Care (AOCC) and has a primary responsibility to support the planning and operational management for the local Office of Access and Community Care and serves as liaison to initiate, maintain, and re-establish relationships between the AOCC and the Vendor/Community Provider/Stakeholder.
This position is not covered under the bargaining unit.
Duties
The Program Support Assistant is responsible for carrying out the full range of responsibilities for the Program Oversight support with focused duties in the Community Care Section. The individual will be the main focal point for coordinating correspondence, communication, problem resolution and regulation interpretation for all customers served by the Office of Community Care. These customers are both organizational (veterans, service organizations, congressional offices, VISN and medical centers served) and private (non-VA healthcare providers and facilities) customers. Major duties include, but are not limited to:
Conducts regular and reoccurring quality reviews to include following up with potential and previous vendors, to render current instructions and certification requirements; system enrollment & training and obtaining current updated licenses/credentials; and conducting background investigations to ensure the providers are not listed on the national exclusion list.
Responsible for advising and resolving nonstandard procedural assignments regarding a wide range of administrative-related matters at all phases with vendors, to include processing documents for veterans, determining vendor eligibility, responding to inquiries regarding services and other administrative matters, and resolving patient or family, and vendor complaints.
Responsible for a wide range of correspondence, agreements, and reports requiring technical skills and VA Policy knowledge and for filing, maintaining, and the dispositions all correspondence.
Coordinates, provides information to service personnel; maintains personnel records for employees; advises supervisors of pending personnel actions; and serves as the focal point for activities such as training and licensure, security clearances, PIV, and processing personnel system access.
Required to regularly revise the Cost Distribution Report, incorporating input from vendors, sub-specialties and the service chief, while notifying Fiscal Services of discrepancies and/or outdated information.
Responsible for maintaining quarterly cost reports which are utilized used in budget negotiations and presented to affiliates for physician with a dual appointment.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing for accounting transactions and cash flow as budgetary demands on control points, while verifying and reconciling all issues, questions, and/or discrepancies in this area with Fiscal, Acquisition, Contracting, and vendors; creating documents, tracking spreadsheets, schedule meetings, arrange appointments, processing travel, maintaining calendars appropriately without daily supervision; and coordinating appointments with potential and current vendors, confirms schedules with providers and arranges their participation during the enrollment phase(s) and encounters.
