Position is located in Medicine Service, within the Veterans Affairs Medical Center, Louisville, Kentucky and encompasses an interdisciplinary, multifunctional array of specialty sections, programs and services to meet the needs of our Veteran population seen. Is administrative support staff that provides support to providers and contractors, clinical staff, management staff, and medical trainees that rotate thru the service. Provides a full range of administrative support to Specialty Sections.

Duties

The Program Support Assistant provides a full range of administrative support to Specialty Sections, which includes but is not limited to: clinic management activities, meeting coordinator/recorder, documentation and report preparation, ordering of supplies/reproduction, data entry, files maintenance, budget management, contract support, and participation in special projects, performance improvement activities, and systems redesign activities. Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of an organization's program operation. Provides input into the design of data collection instruments and procedures; selection of appropriate measures and techniques; study implementation and interpretation of results. Performs data entry and other data processing tasks. Responsible for completeness, accuracy, and accessibility of data for analytical purposes. Uses software applications to draw and display information, e.g., from the Veterans Integrated Support and Information Application (Vista), Microsoft Access, Excel, Services SharePoint, and Outlook. Processes large volumes of incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Uses own initiative, and from knowledge of policies, performs the following: composes non-technical correspondence and edits letters and reports; reviews correspondence for accuracy, completeness, and proper attachments; develops standard or form letters and replies to routine inquiries. Performs work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities of the organization within Medicine Service. Serves as a primary timekeeper for select sections within the service and responsible for establishing complex tours of duty and core time for physicians. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/11/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Selective Placement Factor: Must be proficient in typing at least 40 words per minute and knowledgeable of various types of office automation software i.e., Microsoft Word and/or Excel. This must be reflected in your resume. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience providing clerical and administrative support in an office setting; using various office software such as Word, Excel, and PowerPoint; creating and generating reports; coordinating, planning, and organizing administrative duties; preparing meeting agendas and minutes; communicating orally and in writing to internal and external customers; researching various publications, manuals, handbooks, and policies; analyzing, extracting, tracking, summarizing, and compiling information for reporting and review; preparing correspondence; providing customers with consistent information according to established policies and procedures, etc. You will be rated on the following Competencies for this position: CommunicationsComputer SkillsCustomer ServiceWriting Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary, although some slight physical effort, such as walking, bending and lifting may be required.
