This position is located in the Veteran Transportation Program (VTP) at the Jesse Brown VA Medical Center, Chicago, IL and provides administrative and program support and serves as the principal assistant to the Chief of the Veterans Transportation Program.
Duties
The Program Support Assistant assists by performing work of a general office support nature encompassing a variety of different duties and responsibilities. Duties include:
Receives and refers visitors and telephone calls to appropriate staff member.
Participates in the coordination of administrative processes of the office by performing routine and non-routine administrative and clerical work.
Tracks and monitors the continuing education and various training activities for assigned groups of staff.
Utilizes VA databases for record keeping and reporting purposes.
Distributes mail and messages, recording the receipt, suspense, and completion dates as appropriate.
Prepares a variety of letters, memoranda, correspondence and reports from rough draft to final form.
Develops and maintains various automated databases, spreadsheets, and graphics in support of office activities and operations.
Performs office automation duties in support of performance measures, survey outcomes, staffing requirements, and program development and management.
Uses specialized terminology such as medical and accounting/fiscal language when reviewing data to be typed into spreadsheet form.
Prepares submissions of documentary, statistical and other data collection and summarizes the same in advance of the required timeframes to facilitate suitable review by supervisors.
Maintains the supervisor's calendar and schedules official appointments.
Coordinates meetings and/or conferences; arranges for meeting space, supplies and equipment, conference/meeting materials, etc.
Performs administrative support service work in support of a purchasing, procurement, inventory, communication systems, e.g., internal telephones, stationary computers, etc.
Arranges for office equipment repair by contacting appropriate vendor and preparing related paperwork.
Prepares and transmits time and attendance records and reports for assigned staff.
Performs other related duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/11/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: One (1) full year of specialized experience that equipped the applicant with the particular knowledge, skill, and abilities to perform successfully the duties of the Program Support Assistant, GS-6 position, and that is in or related to the work of the position to be filled. To be creditable, this experience must have been equivalent to at least the GS-5 level in the Federal service to qualify at the Grade-6. Examples of specialized experience include (but are not limited to): experience in positions which required knowledge of a full range of functions to operate word processing software, as well as additional functions to operate a variety of other office automation systems to fulfill various office needs, e.g., forms fill and production, and database management; knowledge of the substantial range of functions within all software types to check grammar and spelling, import and export data, edit tables and graphs within text, and update or modify existing databases; knowledge of clerical and administrative skills such as grammar, punctuation, spelling, correspondence formats, staffing charts, records management and filing requirements to assist in preparation, edit, quality control and retention of documentation; ability to prioritize, compile, interpret, analyze, and summarize data in the completion of assigned work; skill in planning, communicating, motivating, training and working with management and staff; and proven ability and skill to appropriately and courteously communicate and relate to internal and external customers.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. P However, there may be some walking, standing, bending, and carrying of light items like papers, files, or books. No special physical demands are required to perform the work. Mobility is required in order to confer with other staff members to resolve problems, establish priorities, etc.
Working Conditions: The work environment involves everyday risks or discomforts and requires normal safety precautions typical of such places as meeting and training rooms, libraries, etc. The work area is an adequately lighted, heated, and ventilated open office, with office equipment adequately spaced to ensure comfort and work compatibility with fellow employees. When necessary, work may be performed throughout various locations within the Medical Center and normal safety precautions are to be adhered to. Due to the contact with patients and public, incumbent is exposed to occasional verbal abuse.
