The incumbent serves as the clerical/administrative assistant to the Director of Primary Care ­Medicine Service and provide support to the Assistant Chief Medical Service in the Miami VA Healthcare system.

Duties

Duties include, but are not limited to: Serves as the clerical/administrative assistant to the Director of Primary Care­ Medicine Service and provides support to the Assistant Chief Medical Service in the Miami VA Healthcare system. Provides secretarial support and is the primary resource for administrative functions within the entire Primary Care Medicine. Excellent customer service skills as the incumbent will interface with customers via telephone and in person. Oversees maintenance of appointment calendar, coordinating, scheduling and reminding of appointments, staffer duties, preparing agendas, recording attendance, preparing meeting minutes, tracking controlled correspondence entering and leaving the office, preparing correspondence, memorandums and/or documents for the Director of Primary Care Medicine and the Assistant Chief Medical Service. Provides callers with answers to questions to incumbent is familiar with or can easily obtain (e.g., status of reports, suspense dates, procedural requirements, etc.). independently handles and manages sensitive personnel information throughout the course of his/her daily duties; acting as a liaison between Human Resources and the Medicine Primary Care Office by assisting with recruitment and credentialing packages, collecting vital information from staff coming on board, timely submitting collected recruitment packages for clinical contractor providers, resident providers, (WOC) employees, physicians, physician assistants, ARNP's requiring credentialing and privileging. Assist with timekeeping duties and maintain time cards and leave records for employees within the service. Responsible for the preparations of personnel actions maintenance of leave records employee related matters and Service staffing records. Performs other related duties as assigned. Work Schedule: 8:00am-4:30pm Monday through Friday Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/07/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: 1) Identifies problems; determines accuracy and relevance of information. 2) Uses sound judgment to generate and evaluate alternatives, and to make recommendations. 3) Expresses information (for example, ideas or facts) to individuals or groups effectively, taking into account the audience and nature of the information (for example, technical, sensitive, controversial). 4) Makes clear and convincing presentations; listens to others, attends to nonverbal cues, and responds appropriately. 5) Knowledge of planning, coordination, and execution of business functions, resource allocation, and production. You will be rated on the following Competencies for this position: Administration and ManagementCommunicationProblem Solving Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary: Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
