This position is located in the Office of the Chief Financial Officer, National Finance Center, Government Employees Services Division, Client Services Directorate in New Orleans, LA.
Incumbent provides clerical and administrative assistance to a manager who shares in the direction of a complex organization divided into subordinate branches and further divided into subordinate sections. Also, performs a variety of duties in support of the administrative functions of the staff or directorate.
Duties
Serves as the back-up secretary to the Division Secretary and shares fully in the administrative controls and functions of the Division.
Types a variety of correspondence, technical reports, forms with responsibility for proper spelling, grammar, format, punctuation and arrangements.
Verifies data entered into the time and attendance automated system and makes necessary corrections.
Maintains supervisor’s calendar, applying discretion in establishing priorities, and setting up or refusing appointments.
Receives and reviews all incoming correspondence.
Arranges for meetings and conferences, ensuring details such as location, agenda and notification of participants are completed.

Qualifications

This position has a typing requirement. The applicant must be able to type 40 Words per minute. (Words per minute are based on a 5-minute sample with three or fewer errors.)
Applicants must meet the specialized experience below.
Specialized Experience: One year of specialized experience equivalent to the GS-6 grade level or pay band in Federal Service or equivalent experience in the private or public sector. Examples of specialized experience include: 1) Checking correspondence for proper grammar, spelling, punctuation, and reviewing documents for conformance with formats and procedural requirements; 2) Performing clerical and administrative functions and procedures, such as distributing and controlling mail, referring phone calls and visitors, and providing general and technical information; and 3) Using computer programs in the performance of regular duties, such as word processing, creating presentations, and processing Time and Attendance (T&A) and organizing file systems.
