This position is located at the Edward Hines Jr. VA in the Logistics Department and reports to the Mail Clerk Supervisor.
Duties
The primary purpose of this position is to process incoming and outgoing mail of Hines VA Hospital mail rooms. The work involves the performance of clerical duties related to the processing of incoming and outgoing materials such as correspondence, publications, classifications, etc. The incumbent will study incoming correspondence containing a wide variety of subjects and to route this correspondence within the headquarters or subordinate headquarters.
The employee sorts and dispatches all facility mail from the US Postal Service (USPS), including the processing of, Federal Express (FedEx) and United Parcel Service (UPS), in a safe, accurate, and timely manner. Assesses urgency and sensitivity of incoming express mail, priority mail, overnight deliveries, and hazardous and perishable materials for proper handling and delivery. Assesses all incoming mail for potentially harmful or dangerous situations (explosives or combustible materials). Performs general mail handling and distribution, including sorting, opening date stamping, classifying, processing and routing mail. Records, processes, and controls registered, insured, priority, reply or certified, signature, delivery confirmation mail. Requests for Priority Mail, insurance, etc. shall be assessed, approved, or denied by the employee based upon knowledge and experience, published guidelines, availability of funds and personal knowledge of the immediate situation. Sorts outgoing mail and checks for presence of indicated enclosures. Screens outgoing materials for proper format and assure they are assembled and addressed in accordance with appropriate regulations. Routes and distributes mail to customers throughout the VAH. Ensures that incoming public inquiries and staff mail is properly opened, read, date stamped, and sorted into established categories for distribution to appropriate units and staff. Improves mail methods assessing all outgoing mail to establish the proper class of mail (first, second, third or fourth-class mail). Sets up, operates, adjusts, and monitors the operation of single or multiple function equipment such as copiers, duplicators, mail processing machines, etc. Operates a variety of equipment. Arranges records for storage/reference, scheduled disposition, retrieval. Performs general filing including the use of alphabetical, numerical, chronological filing systems to file reports, correspondence, records, publications, regulations, directives, and similar material. Performs other duties as assigned.

Physical Requirements: Work is primarily performed while sitting, with occasional standing, walking, bending, or carrying of light objects such as letter trays, files, etc. Work is normally performed in an office setting that is adequately lighted, heated and ventilated.
