The VA Northport Healthcare System is currently recruiting for one Lead Medical Support Assistant for the Surgical Service. Surgical Service consists of eleven sections: General Surgery, Proctology, Vascular, Thoracic, Plastics, ENT, Urology, GYN, Ophthalmology, Pre-Admission Testing and Ambulatory Surgery. The Lead MSA acts as a liaison between the Medical Support Assistant Staff and supervisory staff.

Duties

Major duties include but are not limited to: Monitors work assignments, sets priorities, and distributes and balances workload to employees, when asked. Resolves daily workplace issues/conflicts and maintains efficient workflow. Assures coverage of all areas of responsibility. Conducts reviews and audits to ensure quality of work, accuracy and timely scheduling of appointments. Provides guidance to staff members, including any changes to policies and procedures. Provides input on employee performance. Provides on the job training for new and current employees. Ensuring all training requirements are met. Maintains constant communication with clinical personnel and other staff in various clinic settings to resolve delays and misunderstandings in the medical administrative aspects of providing medical care. Directs staff entry of no-show information for patients who fail to report for scheduled appointments, rescheduling patients for the future as determined by the physician. Ensures patients are informed of all scheduled appointments. Works closely with clinical staff to assure record documentation is adequate to reflect care provided. Manages Veteran reception, check-in, and waiting areas by ensuring patients are comfortable and treated courteously and in a timely manner. Assure providers are aware of clinic start times and coordinates with team members for outpatients to be seen in a timely manner. Manages and assures the incomplete encounter actions and required reports are run daily and errors corrected. Assures staff distributes to the appropriate provider to process and close out. Assists with setting up of new or closing any surgical clinics in accordance with policy as needed. May act as timekeeper backup for Surgical Service. Other administrative duties vary upon necessity and include but are not limited to the ADPAC, TMS, PIV and EPAS requests as well as transcription of conference minutes, scanning, faxing, phone calls, correspondence, etc. Work Schedule: 8:00am-4:30pm EST, Monday to Friday Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j. Experience and/or Education: Experience must be thoroughly documented in your resume to receive credit for experience. Transcripts must be submitted in order to receive credit for education. Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education. One year above high school; OR, Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Grade Determinations: Creditable Experience. Knowledge of MSA Practices. To be creditable, the experience must have demonstrated the knowledge, skills, and abilities (KSAs) associated with current MSA responsibilities or an equivalent administrative patient support role in a non-VA medical inpatient or outpatient setting. Experience satisfying this requirement may be paid/non-paid employment as an MSA or an equivalent position in a non-VA hospital or clinic setting. Quality of Experience. Qualifying experience must be at a level comparable to MSA experience or equivalent administrative clinical support role in a non-VA medical inpatient or outpatient setting at the next lower grade level. For all assignments above the full performance level, the higher-level duties must consist of significant scope, administrative independence, complexity (difficulty), and a range of varieties as described in this standard, at the specified grade level and be performed by the incumbent at least 25% of the time. In addition to the basic requirements for employment listed above, the following experience criteria must be met when determining the grade of candidates. Lead Medical Support Assistant, GS-7: Experience: To qualify at the GS-7 level, the candidate must possess one year of experience equivalent to the GS-6 grade level. Experience includes but is not limited to: providing specialized and expert administrative patient support while working in an interdisciplinary coordinated care delivery model; using a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources; expertise in utilizing numerous advanced patient systems in support of multiple clinics; coordinates with patient care team to review appointment availability to ensure that clinic schedules are closely monitored; communicating with patient, interdisciplinary coordinated care teams, VAMCs, and other agencies during the inpatient to outpatient discharge; prepare correspondence to notify patients of normal lab results; manages the system for follow up care such as consults, tests, etc. AND; Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: A. Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. B. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. C. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. D. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. E. Ability to provide staff development and training. F. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.
