The Mail and File Clerk position provides technical and clerical assistance to the C.W> Bill Young, Non-VA Medical Care Coordination, Business Office Service, Medical Center- ADMC - Administrative Services, Veterans Health Administration, Department of Veterans Affairs, Cape Coral. FL. The Mail and File Clerk position performs duties related to the receipt, intake, and indexing of health and administrative information.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Duties include, but may not be limited to: Scanning and Electronic Filing: Performs duties related to the receipt, intake, and indexing of health and administrative information. Interfaces personal computer (PC) applications as well as numerous VistA applications and Fee Basis Claims Systems (FBCS) modules. Separates UB04 and HCFA 1500 claim forms and claim forms that are accompanied with medical records according to standard operating procedures and utilizing the scanning hardware and software available. Uploads images to the DocManager terminal server using the HIMS approved naming conventions, indexed and placed into the proper electronic folder. Mail Work: Receives and processes all mall (Incoming or outgoing) received, including the processing of express mail. Ensures that incoming claims, medical documentation, public inquiries, and staff mail is property opened, read, date stamped, and sorted into established categories, with claims and medical documentation being separated by claim form type and facility of chief responsibility in preparation for scanning to appropriate units and staff. Reviews invoices to ensure they are valid and complete, and in such instances where they are not, returning claims to the vendor with a letter Indicating the inability to further process and the corrective action required for future submission. Performs other related duties, copying, and filing as assigned. SPECIALIZED EXPERIENCE: GS-5: One (1) year of specialized experience that equips you with the knowledge, skills, and abilities to successfully perform the duties of the position. To be creditable for the GS-05 the experience must have been equivalent to the GS-04 in Federal service. Examples of specialized experience includes having ability to analyze and route complex technical and administrative material to twenty-five (25) or more different staff working multiple functions; skill and experience to determine the correct recipients within the Office; identifies with functions performed within the units serviced to determine the subject matter of diverse types of correspondence and forms, analyzes materials by subject matter content, and perform extensive searches in a context of historical records, determines which of several indexes are to be searched, possible errors in varied filing systems, etc.; awareness of complex and extensive file classification systems to file materials; comprehends medical terminology And medical coding requirements; and having skills with a variety of office equipment such as copiers, duplicators, mail processing machines and Optical Character Recognition (OCR) technology that electronically read medical claims. OR SUBSTITUTION OF EDUCATION FOR EXPERIENCE: GS-5: Four (4) years of successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. (TRANSCRIPTS REQUIRED) OR COMBINATION OF EDUCATION AND EXPERIENCE: GS-5: Equivalent combinations of successfully completed post high school education and experience may be used to meet total experience requirement at the GS-05 level. Only education in excess of the first sixty (60) semester hours is creditable toward meeting the specialized experience requirement. For example: six (6) months of specialized experience and two (2) years of successfully completed education above the high school level would meet this requirement. (TRANSCRIPTS REQUIRED) You will be rated on the following Competencies as part of the assessment questionnaire for this position: Attention to DetailClericalManages and Organizes Information IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary, though some movement, lifting, and stooping are required when using files or delivering stacks of documents. Concentration and sustained performance under prolonged stress is required because of the time factors involved in completing work within monthly deadlines and processing time limits.
