This position is located in the Office of Nuclear Reactor Regulation. The supervisor is Andrea Veil. This position is not in the Bargaining Unit with the National Treasury Employees Union, Chapter 208. This position IS not subject to Confidential Financial Disclosure reporting requirements. This position IS not subject to security ownership restriction reporting requirements.

Duties

As an Administrative Assistant with the U.S. Nuclear Regulatory Commission, you will be responsible for supporting the Office Director and the three Deputy Office Directors in the Office of Nuclear Reactor Regulation (NRR).  Based on the number of executives on NRR's Executive Team (ET) and the size of the Office, you will serve as one of two assistants providing administrative support to the ET. You will provide guidance and leadership to the other administrative assistants in the Office on the efficient and effective coordination and implementation of agency-wide administrative functions. You will produce letters, memoranda, reports, and other documents and perform a variety of office automation functions.  You will compose correspondence of a routine nature.  You will maintain the ET's calendars by making appointments, and advising supervisor of appointments, meetings, etc.  You will also conduct time and attendance reporting, action item tracking, travel document preparation and retrieval, and calendar maintenance.

Qualifications

In order to qualify for this position, you must have at least one year of specialized experience at the next lower grade level in the Federal service or equivalent experience in the private or public sector.  The ideal candidate will be able to demonstrate the following:1. Demonstrated proficiency with microcomputer-based word processing applications, including MS office (MS word, ADAMS, appointment calendar, e-mail), presentation applications, and other database applications (i.e., maintaining automated tracking systems). (EXAMPLE: Describe specific work experience, training and accomplishments that demonstrate your knowledge of and ability to utilize the features of MS Office and any other office automation tools.  What specific software have you used (e.g., Word, Access, Excel) and for what purposes?  Describe your experience with automated action item tracking systems.  What were your duties and responsibilities?) 2. Demonstrated ability to provide administrative support in a variety of areas (time and attendance reporting, travel, etc.). (EXAMPLE: Describe specific work experience, training, and developmental assignments that demonstrate your ability to apply policies and practices pertaining to office procedures, such as time and attendance and travel.  Describe your experience establishing and maintaining office files.  Describe specific instances where you have initiated and developed new office procedures to improve the efficiency of your organization.  Describe the types of groups you have supported and for what purpose.) 3. Knowledge of proper grammar, spelling, and punctuation, and correspondence procedures sufficient to prepare and review outgoing material for correctness, proper format, and completeness. (EXAMPLE: Describe specific training, education, and experience which demonstrates your knowledge of proper grammar, spelling and punctuation.  Describe specific work experience that requires you to apply your knowledge of NRC correspondence procedures.  What is your role in assuring that outgoing documents are correct and in the proper format?  What type of documents do you routinely prepare and originate?) Knowledge of proper grammar, spelling, punctuation, and correspondence procedures sufficient to prepare and review outgoing material for correctness, proper format, and completeness. 4. Demonstrated ability to work efficiently in handling multiple assignments with competing priorities, often under considerable pressure to meet deadlines. (EXAMPLE: Describe specific situations that required you to work under stressful or adverse conditions (field assignments, competing priorities, tight schedules, deadlines, etc.). 5. Demonstrated ability to deal tactfully, efficiently, and professionally with all levels of personnel, and to work collaboratively within a team. (EXAMPLE: Describe the various levels of individuals you interact with and for what purposes.  Provide examples of specific assignments which required you to work as a lead secretary or within a team environment.  What was your role? What techniques do you use to develop effective working relationships?) Specialized Experience is defined as: To qualify for the GG-09 grade level, you must possess at least one year of specialized experience at the next lower grade level (GG-08).  Specialized experience for this grade is the use of office automation systems to produce documents and perform a variety of office automation functions such as time and attendance reporting, action item tracking, travel document preparation and retrieval, and calendar maintenance.   To qualify for the GG-10 grade level, you must possess at least one year of specialized experience at the next lower grade level (GG-09).  Specialized experience for this grade is providing guidance of office automation systems to produce documents and perform a variety of office automation functions such as time and attendance reporting, action item tracking, travel document preparation and retrieval, and calendar maintenance.  Additionally, provides leadership and guidance to the division administrative assistants in coordinating office-wide activities and initiatives, along with implementing new and existing agency-wide processes.  A description of how you possess the specialized experience as well as how you meet the qualifications desired in an ideal candidate should be addressed in your resume.
