This position is located at the Naval Region Northwest Fleet Readiness Division and is assigned to the Pacific Beach Resort and Conference Center. Pacific Beach Resort and Conference Center is a mid-size lodging facility that includes a restaurant, bar, gift shop, RV and camp sites, and conference facilities.
The incumbent will manage daily guest services operations to include group/individual reservations, front desk operations, gift shop and conference & catering sales and event planning.
Duties
The function of the position is to oversee and proactively participate in the day-to-day operations, administrative oversight, overall success, financial plans and future planning needs of the Front Desk, Gift Shop and Catering & Conference Sales and Planning. Responsibilities include, but are not limited to, the following:
Guest Relations and Front Desk Operations:
Supervises and participates in front desk operations including reservations (groups and individuals), cashiering, check-in, check-out, overall guest service, room assignments, and inventory control.
Coordinates with relevant department heads, resolves administrative problems, routine operational issues, and complaints related to these operations. Reconciles room status with the housekeeping report. Coordinates with housekeeping department to ensure rooms are ready for occupancy.
Ensures areas of responsibility operate in accordance with established instructions, manuals and operating procedures.
Ensures guest privacy and security measures are maintained at all times.
Provides information as requested by higher authority.
May receive and be accountable for a change fund. Prepares and deposits cash receipts at the end of each shift as required.
Responsible for the accountability of all keys and any other inventory maintained at the front desk, gift shop and event space
Supervises and participates in gift shop operations including purchasing and selling of merchandise, pricing, displays, cost of goods control, and overall guest service.
Controls expenses and functions which include execution of retail merchandise presentations, selling and warehouse/stocking. Ensures proper terminal controls and procedures are used.
May select, order/procure and determine retail pricing of merchandise utilizing the regulatory guidelines provided.
Maintain adequate stock assortments, inventory levels, eliminate slow selling items, and may add new items as presented.
Acts as the resident expert of the property management system and gift shop point-of-sale system.
Conference & Catering Sales and Planning:
Proactively sells and plans and provides oversight to catering and conference events.
Serves as the primary Point of Contact for all conference and catering groups.
Produces and services contracts and related documents using established guidelines.
Greets groups upon arrival and reconfirms needs and timing.
Collects payment and sets up direct bills, where appropriate.
Coordinates with Fleet and Family Readiness Program (F&FRP) Service Center on group billing questions and/or contractual issues.
Coordinates and communicates all group needs with appropriate departments.
Arranges for required supplies, decorations, equipment.
Works with appropriate department head in ensure proper event staffing levels.
Maintains private party book and contract file.
Follows-up with client before, during and after events.
Actively promotes conference & catering program, working with Service Center Marketing Department to prepare private party brochures and advertising material.
May supervise private party personnel.
Supervisory Duties:
Supervisory duties include assignment of work and establishing performance standards for personnel within assigned area of responsibility.
Plans and schedules personnel on a daily, weekly, monthly, and quarterly basis, approving leave and adjusting staff levels to meet workload requirements.
The incumbent trains, instructs personnel in area of responsibility both in a formal training setting and on the job training.
Participates in employee selection and interview process.
Provides input to hiring and other employee transactions, adhering to fair employment practices and equal opportunity principles.
Coaches, takes corrective action and counsels subordinates as necessary.
Completes performance evaluations and recommends recognition and performance awards to the Resort Manager.
Maintains clean, neat, orderly appearance of work areas.
Performs other duties as assigned.
Requirements
- This position is subject to workdays on weekends and holidays, as well as, rotating shifts, often consisting of other than normal duty hours. The staff member may be recalled to duty and/or required to work overtime to handle emergency situations.
- Position requires ability to travel to other facilities within the region.
- 3. Position is considered a “position of trust” and requires access to government information systems. Such positions require a favorable National Agency Check (NAC).
Qualifications
Requires a minimum of three years related work experience that demonstrates knowledge of basic principles, concepts, standards, regulations and administration related to front desk, conference and catering sales & planning and/or retail operations.
Professional knowledge of the lodging industry, administration, policies/procedures, and supervisory practices in conducting day-to-day operations.
Must be skilled in the use of a personal computer and various software programs, including knowledge of the property management system.
Must possess basic math and reading skills along with the ability to effectively communicate, orally and in writing, with personnel of all grades and ranks
