The incumbent serves as a Transportation Assistant - Transportation Coordinator acts as primary contact to Veterans for transportation needs. The incumbent works with the Veteran Transportation Service (VTS) Supervisory Mobility Manager for transportation workload forecasting, scheduling design, procedure development, and quality improvement implementation, modification of processes, evaluation, and ongoing operational flow of the Veteran Transportation Services program.
Duties
The incumbent serves as a Transportation Assistant - Transportation Coordinator acts as primary contact to Veterans for transportation needs. The incumbent works with the Veteran Transportation Service (VTS) Supervisory Mobility Manager for transportation workload forecasting, scheduling design, procedure development, and quality improvement implementation, modification of processes, evaluation, and ongoing operational flow of the Veteran Transportation Services program. The coordination of transportation function is multi-faceted and diverse. The three major areas of responsibility are: (1) Scheduling, Data Collection, & Tracking Support; (2) Consult Management responsibilities; (3) Program Support responsibilities. The incumbent must have knowledge of clinical services, related software, and programs as they relate to clinical computing and office automation.
Major duties include but are not limited to:
Performs work involving consult management, appointment scheduling and admissions scheduling.
Daily responsibilities include collecting, compiling, and tracking data and statistical information in support of Veteran Transportation Service (VTS).
Performs a basic analysis of the data and generates a variety of reports.
Reviews documents, reports and/or applications for omissions and inconsistencies and ensures data entry is complete and accurate.
Enters pertinent information into an automated tracking system.
Coordinates service practices that decrease waits and delays for patients in all specialty areas.
Utilizes the Veterans Health Information System & Technological Architecture (VISTA), Computerized Patient Record Systems (CPRS) or SharePoint Consult/Request Tracking System in processing internal consultations.
Plans for, organizes, administers, and directs how the work will be accomplished for the VTS program.
Planning responsibilities require consideration of support services e.g., systems management, operations, workload forecasting, review, and reporting of data/statistical results of program/project studies, vehicle maintenance and repair, etc.
Coordinates the day-to-day operation of VTS program flow, processes, and functions.
Plans and provides support services in the following types of program areas: electronic records management; driver scheduling setup & management; space utilization services.
Provides advice to operating managers and supervisors on how provided services assist in accomplishing their missions and programs.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 8:00am to 4:30pm

Qualifications
Specialized Experience GS-5: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-04) in the Federal Service, that is directly related to the work of the position and has equipped you with the particular knowledge, skills and abilities to successfully perform the duties as a Transportation Assistant - Transportation Coordinator. Qualifying specialized experience includes preparing written instructions and a variety of correspondence; performing data entry into an automated system; scheduling appointments and admissions; collecting, compiling, and tracking of data; and ensuring compliance with regulations and procedures.
EDUCATION SUBSTITUTION GS-5 (TRANSCRIPTS REQUIRED)
Successfully completed 4 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. Transcripts must be submitted at time of application. ~OR~
COMBINATION GS-5 (TRANSCRIPTS REQUIRED)
Equivalent combination of successfully completed post-high school education in excess of the first 60 semester hours (beyond the second year) and specialized experience as described above, which meet the total experience requirements for this grade level. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. Transcripts must be submitted at time of application.
Specialized Experience GS-6: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-05) in the Federal Service, that is directly related to the work of the position and has equipped you with the particular knowledge, skills and abilities to successfully perform the duties as a Transportation Assistant - Transportation Coordinator. Qualifying specialized experience includes performing transportation support duties such as coordinating connections/scheduling, documenting travel information; collecting, compiling, and tracking data on a daily basis; Performs a basic analysis of data and generates a variety of reports; entering data into automated tracking data bases; and planning and directing a program that provides support services.
NOTE: One (1) full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
