This position serves as the Secretary to the Service Chief, Deputy Chief, and the Administrative Officer of the Behavioral Health Service (BHS) at the George H. O'Brien Veterans Affairs Medical Center in Big Spring, TX. Programs in BHS include Behavioral Health Interdisciplinary Program, Substance Use Treatment Program, Mental Health Access/Evidence Based Practice Program, Suicide Prevention Program, Primary Care Mental Health Integration and Local Recovery Program.
Duties

Major duties and responsibilities include:
Provides direct administrative support to the Service Chief, Deputy Chief, and Administrative Officer.
Arranges and confirms travel.
Prepares, tracks and follows-up on memos and correspondence.
Prepares and maintains 6-part folders.
Preparing, coordinating, organizing, and filing correspondence and minutes.
Processes incoming or outgoing mail, performs general mail handling and distribution including sorting and routing mall, sorts outgoing mail and checks for presence of indicated enclosures.
Monitors and reports time and attendance.
Receives and directs callers and visitors.
Transcribes voice recordings, video recordings, or other written material using word processing software and equipment.
Performs work involving the collection, compilation, and tracking of data and statistical information.
Performing other duties as assigned.
Work Schedule: Monday-Friday, 8:00am to 4:30pm

Qualifications
IN ORDER TO QUALIFY FOR THIS POSITION AT THE GS-6 LEVEL YOU MUST MEET THE FOLLOWING:
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
~AND~
SPECIALIZED EXPERIENCE: You must possess at least one year of specialized experience equivalent to the GS-5 grade level in the Federal service that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Secretary (Office Automation) position to be filled. Specialized experience for this position includes referring visitors and telephone calls to appropriate department; processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication; maintaining appointments, calendars, coordinating meetings and scheduling conferences. (THIS EXPERIENCE MUST BE SUPPORTED BY YOUR RESUME TO BE CREDITABLE.)

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work requires no special physical demands. It may involve some walking, standing, bending, or carrying of light items. This work environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices, meeting and training rooms, or libraries. The work area is adequately lighted, heated, and ventilated. The employee may be in direct contact with veterans receiving treatment by BHS or participating in other programs within the service. The employee is subjected to interruption of regularly scheduled work because of patient contact responsibilities and is subject to the risks of patient combativeness, threats, bizarre unpredictable behavior, and verbal abuse. The work environment is considered difficult and places the incumbent at significant risk physically and emotionally.
