The primary purpose of this position is to serve as the principal office assistant performing various clerical and administrative duties in support of the organization, performing office automation duties such as word processing in support of the clerical and administrative work.

Duties

Prepares a wide variety of recurring correspondence, internal reports, and other documents from information obtained from the staff, files, and other sources and reviews and finalizes documents prepared by others. Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives. Screens incoming mail to identify what needs to be brought to the attention of the supervisor, referred to appropriate staff, or rerouted to other organizations/offices. information that addresses most routine or procedural issues. Maintains supervisor's calendar, scheduling appointments and meetings, including those involving staff from outside the immediate office, in accordance with supervisor's instructions. Performs other clerical and administrative work in support of the office/organization. Establishes, updates, and maintains office records of various types that may be needed or will assist in the efficient operation of the office. Uses varied and advanced functions of word processing software to create, format, modify, edit, and print a variety of letters, reports, memos, and other textual documents.

Qualifications

In order to qualify, you must meet the general experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. GENERAL EXPERIENCE: Applicants must have at least one (1) year of general experience. Examples of general experience includes progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. OR EDUCATION: Successfully completed two years of education above the high school level obtained in an accredited business, secretarial, or technical school, junior college, college, or university. NOTE: You must submit a copy of transcripts. OR COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. NOTE: You must submit a copy of transcripts. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Knowledge of rules, procedures, or operations applied to secretarial and clerical assignments to perform the routine, procedural work of the office, such as preparing and editing documents, maintaining files/records, and making and preparing travel arrangements; routine office functions to screen telephone calls and visitors, and prepare and review correspondence; and correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports. 2. Knowledge of word processing automation software functions to support office operations and produce a variety of textual documents such as letters, reports, memos, and form letters. 3. Skill in typing; a qualified typist is required. 4. Ability to locate, assemble, and compose routine, nontechnical information for recurring reports and inquiries. 5. Ability to communicate effectively, both orally and in writing. 6. Ability to plan, organize work and meet deadlines. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment.You will receive credit for all qualifying experience, including volunteer experience.

ACTIVE DUTY SERVICE MEMBERS: The VOW Act requires federal agencies to treat an eligible active duty service member as a veteran, disabled veteran, and preference eligible (as applicable) when applying for civil service positions before the effective release or discharge date. Appointment of military members before the release or discharge date is permissible if the member is on terminal leave. At the time the active duty member applies for a civil position, he or she must submit a "certification" memo in lieu of a DD-Form 214, Certificate of Release or Discharge from Active Duty. Active duty members applying for a civil service position without submitting a valid certification memo or DD-Form 214 with their application will render the member ineligible for the position. The certification memo must originate from the member's military service branch on official letterhead and contain the following:
  • Name/Rank/Grade of Service Member
  • Branch of Armed Forces
  • Dates of Active Service (Start and End Date(s)
  • Expected Date of Discharge/Release from Active Duty
  • Terminal leave start date (if applicable)
  • Expected character of service (honorable or general) and type of separation (i.e. separation or retirement)
  • Must be certified within 120 days of anticipated discharge
  • Signature by, or by direction of the adjutant, personnel office, unit commander, or higher headquarters commander.
