The Kansas City VA Medical Center is seeking to fill a Program Support Assistant position to perform duties within the Medical Subspecialty Service.

The incumbent serves as the integrator that coordinates process and software functions for the Medical Subspecialty Clinics (MSSC) at the Kansas City VA Medical Center. The incumbent of this position provides continuous oversight for a variety of software programs integral to the overall administration and operations of the service line, and effects programmatic changes at the facility level. The incumbent coordinates ongoing data collection and analysis and uses knowledge of System Redesign principles to determine organization performance. The incumbent conducts process modeling, projects and studies that will impact on the overall functions of the services in such areas as, policy development and implementation, work methodology, processes, streamlining, etc. The incumbent will also assist the Chief of MSSC in coordinating the residency program; including accreditation, recruitment, and daily operations.
The incumbent responds to requests from the Chief, Medical Service; Administrative Officer, Medical Service; Q.M. Coordinator; Medical Service; Chairman, Information Management Committee/ACOS for Ambulatory Care; Office of the COS; Director's office; and VACO to conduct informational studies, surveys, questionnaires, and special projects. In this endeavor, he/she is responsible for collection of data from all appropriate sources, review and validation of data collected, and preparation of a formal response to each request, within specified time frames.
The incumbent identifies system inefficiencies and develops studies or data collection techniques related to specific identified problems.
Researches problems that impact the quality and efficiency of Service Line operations.
Responsible for the coordination, planning, implementation, and/or training for staff in functional areas for various information technology VISTA packages, e.g. ADT(Admissions/Discharge/Transfer); Scheduling; PTF (Patient Treatment File); Medical Record Tracking; POX (Patient Data Exchange); HINQ (Hospital Inquiry); AMIEII/IBBA (Intranet BDN/BIRLS Access); AMIE (Automated Medical Information Exchange); Discharge Summary; PCE (Patient Care Encounter and Visit Tracking); ACRP (Ambulatory Care Reporting); CIRN(Clinical Information Resource Network); EWL (Electronic Wait List); Incomplete Record Tracking; EAS (Electronic Application Systems); and additional service line programs as added.
Provides training and troubleshooting for clinical and administrative staff in service line processes and associated supporting software.
Serves as the Fellowship and Medical Student liaison with the University of Kansas, UMKC, and KCUMB.
Applies administrative policies, maintains various systems, coordinates travel or other logistical requirements, and reviews Accreditation Council on Graduate Medical Education (ACGME) and VA Office of Academic Affiliations (OAA) policies, regulations, directives and guidelines.
Work Schedule: Full-Time, Monday - Friday 8:00am to 4:30pm
Compressed/Flexible: Regular telework 3+ days per work week

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/07/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Completing verifications of documents in support of administrative requirements, maintaining and compiling data in multiple software systems, AND receives and reviews documents in accordance with established procedures and regulations, oversite of a variety of software programs, knowledge of the PIV sponsorship program, conducting informational studies, survey and special projects, developing and disseminating training materials, local standard operating procedures (SOP), data collection, conducting surveys, trend identification, coordinating travel, record keeping, computer utilization, prepares agendas, charts, schedules and contract materials.

Physical Requirements: The work is mostly sedentary. Occasionally, light physical effort may be required, such as that involved with walking, stair climbing, and carrying of light office items.
