The incumbent serves as the secretary to the non VA Care Coordination Program (NVCC). This individual provides administrative and clerical support to the RNs and the MSAs. The incumbent has substantial interactions with the professional, technical, clerical staff, and hospital administrators within the VA and professional and administrative personnel at the Medical Center.

Screens calls and visitors to the NVCC office.
Independently schedules appointments for the NVCC office.
Personally handles many requests for information and resolves or assists in resolving a variety of complaints made by patients and their families. Prepares correspondence for the signature and maintains records and files for same.
Coordinates and prepares the monthly Medical Officer of the Day schedule.
Reviews all incoming correspondence, determining proper action.
Reviews outgoing correspondence and reports prepared by the various sections of the service line, ensuring proper format, proper attachments, correct grammatical content, and ascertaining that all necessary coordination of facts has been completed and is in accordance with established policy. Composes and edits correspondence and reports, reviews correspondence for accuracy and completeness, prepare presentation outlines, develops standard or form letters, and replies to inquiries.
Takes and transcribes minutes of various meetings, coordinating information and preparing folders of material to be discussed for each member of the committee.
Transcribes written and electronically recorded notes.
Notes taken and transcribed in these committees and meetings are often confidential and frequently includes medical terminology.

Qualifications

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-5) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: preparing in final format memoranda, letters, meeting notes, and other documents; maintaining logs and files; scheduling appointments, coordinating meetings, and preparing travel requests; maintaining calendars and schedules for staff; monitoring, maintaining, and reporting time and attendance for an office; and experience using automated software applications such as Microsoft Office Suite (Word, Excel, Power Point and Access).

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Bending, reaching and lifting is necessary for filing and periodic moving of office furniture. Vision should be sufficient to read from a computer screen for prolonged periods without excessive fatigue. Due to the volume and variety of responsibilities, incumbent will periodically work under stress and pressure in meeting deadlines.
