The Program Support Assistant (PSA) works as a team member for the Gastroenterology Service located at the George E Wahlen VA Medical Center in Salt Lake City, UT. The Program Support Assistant operates at a level of responsibility that requires independent actions within broad program directives and supervisory guidelines. Performs a wide variety of administrative work associated with maintaining and supporting the work performed within the GI Service.
Duties
Major Duties, but not limited to:
Provides reports along with insight and solutions as needed
Extracts data and generates reports for Leadership from various established Software and database systems
Assists with evaluating the effectiveness of the program operations and requirements by generating a variety of reports
Enters clinic closures as required by leave requests, and updates the staffing calendar accordingly
Virtually rooming patients with VVC appointments, testing connections, completing emergency address and contact information as well as clinic reminders.
Providers point of contact for assistance during VVC appointments.
Communicate with University of Utah counterpart to exchange GI operations information
Facilitates and maintains on-call calendar and staffing calendar
Determines the necessary format for outgoing reports, forms, etc. in accordance with VA published standards and ensures that typed correspondence, forms and resources include correct grammar, spelling, formatting and punctuation that is error free.
Primary point of contact for all inquiries, supply requests and office equipment maintenance
Performs additional duties as assigned
Work Schedule: Monday through Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/04/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience GS-06: Do you have at least one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties the Program Support Assistant at the full performance level (GS-6), and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service. Specialized experience includes but not limited to: Knowledge of analyzing information, understanding interrelationships, and taking action to promote outcomes consistent with Service objectives, initiatives, goals, and mission. Organizational knowledge of VA and Service regulations, manuals, directives, VISN directives and hospital and clinic policy memoranda and all other VA publications as they relate to the operation and mission of the GI Service in order to respond to inquiries and set priorities. Knowledge of office automation systems and software, e.g., Microsoft office, spreadsheets and other software/equipment with the ability to input and extract data from various systems that provide data metrics. Basic knowledge of VA policies, procedures, contacts, and resources as well as medical center policies and procedures, VHA directives, other relevant Federal and State Laws and accreditation requirements. Knowledge of medical terminology and VA nomenclature use for variety of administrative purposes and proper referral for information.

Physical Requirements: The work is sedentary, Typically sitting comfortably to complete assignments. However, walking, standing, bending, and carrying some light items such as laptop, paper or books is also expected.
